Put the supplied evidence to work

Use QuickBooks for its receipt and transaction workflow. If a separate client deliverable requires supplier invoice PDFs in Excel, try ParseMill for that preparation step and compare the finished workbook with your manual method. There is no direct QuickBooks posting.

Inspect the interactive invoice sample, then try your own invoices. Eligible new workspaces get 10 pages for 7 days after email verification, with no card or automatic subscription.

Identify the missing-receipt problem before chasing the client

This guide covers the bookkeeping process for collecting transaction evidence in QuickBooks Online. If a previously visible receipt has disappeared or an upload fails, establish the account, user permissions and product behavior with Intuit support before treating the incident as a missing client submission.

Keep one case reference for the evidence gap. A bank-feed transaction and its supporting document can reach different completion states. Use the general missing-receipt guide for the wider process across other tools.

What QuickBooks Online already provides

Intuit's receipt guidance describes uploading files, reviewing extracted details and matching an existing transaction or creating one after review. It includes manual search when a known transaction is not suggested, and notes limitations for Free and Lite plans. Check the receipt queue before asking the client to upload the same file again.

Intuit's transaction information request documentation describes asking a client or team member for details or a receipt in transaction context. Staff can review responses, mark a request complete and reopen it with a new response. The article lists availability for QuickBooks Online, QuickBooks Ledger and Intuit Accountant Suite, excluding QuickBooks Solopreneur; it also describes admin consent and configurable AI follow-up.

These are documented vendor capabilities, checked on 5 October 2026. Verify your plan, permissions and current interface in the firm's account. This guide does not require or represent a ParseMill–QuickBooks integration.

A practical sequence for a bookkeeping team

  1. Confirm the evidence requirement. Record the client, entity, transaction reference, date, amount and why the reviewer needs evidence. Do not assume every unresolved transaction needs the same document.
  2. Search before requesting. Check the agreed receipt location and any open conversation for that transaction. If the document already exists, investigate its association rather than creating a second request.
  3. Make the request specific. Ask for the document or missing detail that would resolve the case. Confirm the intended contact and use the firm's approved channel.
  4. Review the reply. Compare the evidence to the source transaction. Amount alone is insufficient when several plausible transactions exist.
  5. Close or route the exception. Record acceptance, clarification needed or an unavailable-document decision. Name the person responsible for any remaining action.

For the current product navigation and account requirements, follow the linked Intuit documentation. Keep your internal checklist focused on decisions and ownership so an interface change does not invalidate the process.

Example: two similar charges and one incomplete reply

Hypothetical case: a client has two card charges for $186.40 at the same merchant in the same week. A receipt arrives with a cropped date. The bookkeeper also has an open request attached to one of those transactions.

An amount-only match would hide the uncertainty. Keep the existing request as the case context, ask for a readable date or another distinguishing detail, and assign review of the reply. Do not create another expense merely to make the receipt queue empty. The example illustrates a review decision; it is not a description of automatic behavior by QuickBooks or ParseMill.

Record the time spent locating the existing request, inspecting the image, asking the clarification and recording the decision. Those timings show whether the improvement lies in clearer intake instructions, locating evidence or managing the handoff to a reviewer.

Look for work left around the native process

A useful audit asks what happens after the feature is configured. Does an employee scan several clients' queues to find overdue items? Does the client reply through ordinary email, requiring someone to locate the transaction? Does a reviewer need to reopen cases that were marked complete before the evidence was checked?

These are diagnostic questions, not claims that QuickBooks lacks the relevant capability. Test each one in your account. For every repeat step, record the trigger, systems touched, minutes, owner and reason it could not finish in the current workflow.

Keep evidence gathering separate from reconciliation decisions. A reviewer may need to determine accounting treatment even after a document is received. That decision should remain visible in the process map.

Measure one receipt queue before adding automation

Use the workflow audit checklist and Excel toolkit to log receipt cases over a defined period. Count requests, replies requiring clarification, duplicate asks, staff handling minutes and cases reopened after review. Track days waiting for a client separately.

Illustrative baseline: 80 evidence cases × 5 handling minutes ÷ 60 = 6.7 staff hours. If a proposed process takes 3 minutes per case and adds 60 minutes of review, the modeled total is 5 hours. The difference is about 1.7 hours before setup and other operating costs. These inputs are hypotheses, not measured results.

Enter your own volumes in the accounting capacity calculator, then request a missing-receipt workflow audit if repeated manual work remains. Bring the process counts and software names; any access or implementation is agreed separately.

Questions about this workflow

Can QuickBooks Online request missing receipts from clients?

Intuit documents transaction information requests for collecting receipts and other details. Check the linked official instructions and confirm availability, admin consent and permissions in your account.

Should we ask again if a receipt is already uploaded?

First establish whether it is awaiting review, associated with another transaction or ambiguous. Request only the clarification that is still missing, and retain the existing case context.

Does this workflow automatically post transactions?

This is a process checklist. It does not connect ParseMill to QuickBooks or post accounting entries. Keep transaction changes and evidence acceptance within your firm's review controls.

What if a client says the receipt is unavailable?

Record the explanation and assign the case to the firm's designated reviewer. The reviewer determines the acceptable evidence and next steps; repeated reminders do not resolve that decision.
