Once the invoice arrives, skip the retyping
A clear collection register stops that question turning into repeated searches. Once supplier invoices arrive, ParseMill addresses the next manual step: extracting invoice details and line items into a workbook you can review and export.
Inspect the interactive invoice sample, then try your own invoices. Eligible new workspaces get 10 pages for 7 days after email verification, with no card or automatic subscription.
Define the package before sending the request
For recurring bookkeeping, define the required records for the engagement before requesting them. A hypothetical package might include bank statements, card statements and a payroll report. Requirements vary by client; a reusable template is a starting point, not evidence that every client needs the same files.
Give each requested item a client, entity, period, description, due date and staff owner. Record an approved location for the file. Keep separate states for requested, received, awaiting clarification, reviewed and not applicable. Agree who may mark an item accepted or not applicable.
This creates a measurable queue: the number of unresolved items, their age and the action that would unblock each one. See document chasing for the follow-up step.
From request to a usable client package
| Stage | Routine rule | Human decision |
|---|---|---|
| Request | Reuse the approved checklist for the client and period. | Decide whether a changed engagement needs different evidence. |
| Receive | Record arrival and link an unambiguous upload to its requested item. | Resolve an unknown entity, wrong period or conflicting file. |
| Check | Identify missing items and assign the next action. | Decide whether the evidence is sufficient for the intended work. |
| Handoff | Show accepted items and remaining blockers together. | Approve starting work with an explicitly recorded exception. |
Today, staff may perform every step. Automation candidates are the repeated checks and updates governed by clear rules. Professional assessment of evidence remains a separate decision. Keep the source and history when correcting an association so another team member can understand the change.
A worked example: checking the same lists
Illustrative monthly workload: 300 recurring clients × 4 completeness checks per month × 3 minutes per check ÷ 60 = 60 staff hours per month. At an assumed loaded labor cost of $45/hour, that represents $2,700 of staff capacity.
If a tested workflow removed half of those checks, the gross modeled opportunity would be 30 hours. If staff then spent 8 additional hours reviewing its exceptions, the net opportunity would be 22 hours, or $990 at the same assumed cost. This values staff capacity; actual cash savings depend on whether spending changes.
Count reminder writing and document review separately only if they are outside the timed checks. Otherwise the model double-counts the same work.
Check the software your firm already has
TaxDome documents several native collection methods, including organizers, requests and checklists. Its checklist management guidance also covers unmatched files and missing-document requests, with US and beta availability notes. Confirm your account's behavior before buying or building another collection layer.
The useful audit question is what staff still do after these features are configured: checking several arrival channels, fixing incorrect periods, finding owners or copying status elsewhere. If native configuration resolves that work, use it.
Use your firm's approved document channel. The IRS provides guidance for protecting taxpayer information; an acquisition inquiry should contain workflow counts, not client tax records.
Measure one recurring cycle before changing it
Sample one ordinary collection cycle. Record how many items were requested, how many needed clarification and how many staff minutes were spent checking status. Separate active work from days waiting on clients. Note which checks happened in a portal, inbox, spreadsheet or practice system.
Request a client document collection audit with those counts and your current stack. We’ll map the repeated checks, estimate the time they take and choose a practical step to improve.
Questions about this workflow
Is a client portal enough to manage document collection?
It may be. Check whether it tracks required items, partial submissions, review status and ownership for your actual client workflow. Additional software is only justified by work that remains unresolved.
Does uploaded mean complete?
Uploaded records arrival. Completeness depends on the required item, correct client and period, readability and the firm's review criteria. Keep receipt and acceptance separate.
Should I send client files for a workflow audit?
Start with counts, process descriptions and a list of systems. Do not submit taxpayer records through the inquiry form. Any later sample needs an agreed secure process and appropriate authorization.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
