Choose the part of intake you actually need to improve

Prevent the second pass by making missing evidence, document versions and open questions visible before handoff. If business-expense work also needs supplier invoices entered into Excel, test that bounded step in ParseMill; tax-form interpretation and preparation remain with your team.

Inspect the interactive invoice sample, then try your own invoices. Eligible new workspaces get 10 pages for 7 days after email verification, with no card or automatic subscription.

Define what ready for preparation means

Agree an intake checklist for each engagement. It should state the expected documents, identity and year checks, location of accepted files and known unresolved questions. The preparer decides what evidence is needed; intake staff follow that approved request.

A package may have every expected file and still need technical review. Use “ready for preparation” only for the agreed intake state. Keep tax treatment, filing decisions and final sign-off outside that label.

For returning clients, prior-year records can inform a draft request, but changed circumstances may make that list incomplete. Do not silently assume last year's requirements still apply.

Handle ambiguity before it reaches the preparer

StageRoutine ruleHuman decision
ArrivalRecord the source, receipt time and original file.Resolve an unknown sender or unauthorized submission.
AssociationMatch known client, entity and year identifiers.Choose the correct engagement when a file could belong to several.
VersionKeep originals and flag a possible duplicate or corrected form.Decide which version should be used.
ReadinessCompare accepted files with the approved request list.Decide whether missing information blocks preparation.

Use a visible exception reason such as wrong year, unreadable file, possible duplicate, missing page or unknown entity. Avoid a single “needs review” bucket with no next action. Each exception needs a named owner and a link to its source.

A worked example: ordinary intake and exceptions

Hypothetical busy-month model: 600 packages × 8 documents per package × 0.75 minutes of routine intake per document ÷ 60 = 60 hours. Assume 10% of those 4,800 documents need a further 4 minutes of clarification or review: 480 × 4 ÷ 60 = 32 additional hours.

Total modeled intake workload is 92 hours for that month, or $4,140 at an assumed $45/hour. This excludes preparation, technical review and client waiting time. The example assumes the 4 minutes is additional to routine intake; otherwise the categories overlap.

If routine handling time halved, the gross opportunity would be 30 hours before any new review or monitoring work. The example keeps exception handling unchanged.

Use the existing organizer and document controls

TaxDome's collection documentation distinguishes organizers, client requests and document checklists. Its checklist guidance describes matching files to requested items and handling unmatched uploads; some features have regional or beta restrictions. Verify what your firm already has before designing a second intake system.

Tax files may contain highly sensitive information. Follow the firm's approved access, transfer and retention process. The IRS taxpayer-data guidance covers security planning for taxpayer records.

For an initial audit, bring the monthly volume, common intake problems and the steps your staff follow.

Measure the handoff, not just upload volume

For a sample of engagements, capture received-at, intake-reviewed-at and ready-for-preparation-at times. Log staff handling minutes separately from elapsed days. Count packages returned to intake after the preparer opens them and record why.

A useful pilot should reduce repeat handling without increasing incorrectly accepted files. Measure both. The number of uploads processed is insufficient if preparers must reopen the same packages.

Request a tax document intake audit with expected package volume, common exception reasons and your current organizer or practice system. If the main issue is follow-up, start with missing-document chasing.

Questions about this workflow

Can intake automation decide a tax return is complete?

It can check an approved intake list and route missing or ambiguous items. A qualified professional must decide whether the evidence is sufficient for tax preparation and filing.

How should corrected documents be handled?

Retain the original and new version, flag the relationship and assign a reviewer to decide which should be used. Do not silently overwrite a source file.

Should prior-year documents generate this year's checklist?

They can inform a draft list, but the firm must review changes in the client's circumstances and engagement. Prior-year presence does not establish current-year applicability.
