Put the supplied evidence to work

Separate missing evidence from evidence that arrived but has not been matched or reviewed. For supplier invoice PDFs that need an Excel schedule, ParseMill provides a concrete next step after collection. Receipt photos and transaction matching remain in your existing tools.

Inspect the interactive invoice sample, then try your own invoices. Eligible new workspaces get 10 pages for 7 days after email verification, with no card or automatic subscription.

Identify which missing-receipt problem you have

Three different problems can sound like “missing receipts.” The client never supplied the document; the document arrived but was not linked to the transaction; or an uploaded image is no longer visible where the user expects it. The first needs collection, the second needs association, and the third may need product support.

For an evidence queue, create one item per unresolved transaction and evidence requirement. Store the original system reference, responsible client contact, staff owner and next action. Check existing attachments and requests before asking again.

A receipt can describe several lines or payments, and one payment may cover several documents. Ambiguous matches need review rather than an amount-only rule.

Try the tools already in the bookkeeping stack

QuickBooks supports reviewing uploaded receipts and matching existing transactions. Its transaction information requests provide a native way to ask for additional details. Dext also documents requests for paperwork on unmatched bank transactions, including response states and a mobile-app recipient requirement.

Check the feature in the firm's actual account and client workflow. If clients already respond reliably and staff can see what remains, another collection tool may add little. Focus on the manual work that remains after those features are configured. The QuickBooks missing-receipts workflow guide walks through native receipt and request checks before a new process is considered.

Keep unresolved evidence visible

IdentifyFind items without the required evidence and deduplicate existing requests.Decide which transactions need supporting documents.
RequestPrepare a specific request through the approved channel.Handle disputed transactions or a wrong contact.
ReceiveAssociate an unambiguous response with its source transaction.Resolve several candidate matches or an incomplete receipt.
UnavailableRecord the client's response and create an owned exception.Decide acceptable evidence and accounting or tax treatment.

Keep the evidence gap open until the reviewer accepts the response, and preserve the review history. If the client says the file will arrive later, update the follow-up date instead of opening another request.

A worked example: evidence handling at month-end

Hypothetical monthly assumptions: 5,000 client transactions × 6% needing evidence follow-up = 300 cases. At 7 minutes per case for finding context, requesting evidence and handling the reply, the workload is 35 hours. At $45/hour, this is $1,575 of modeled staff capacity.

Suppose a tested process reduced handling to 3 minutes for 70% of cases. That means 210 × 4 ÷ 60 = 14 gross hours potentially released before additional review or monitoring. The remaining 90 cases still need the original handling time in this scenario.

The percentages and timings are illustrative; adjust them to your own case mix. If these cases are already in your reconciliation exception model, do not add them a second time.

Find out where the seven minutes go

Time a sample of cases from identification to closure, separating active staff work from client waiting. Count requests answered correctly on the first response, repeat asks, ambiguous matches and unavailable documents. Log the step that caused another person to reopen the case.

Use those observations to choose the first improvement: preparing a request list, matching an already-received file or updating status after review. Measure each step separately.

Request a missing-receipt workflow audit with approximate case volume and the systems used. For accounting decisions beyond evidence gathering, use the reconciliation exception guide.

Questions about this workflow

Can QuickBooks request missing receipt information?

Intuit documents transaction information requests and receipt review/matching. Confirm availability and behavior in your account before considering another workflow.

What if the receipt cannot be found?

Record that response and send the case to the designated reviewer. The reviewer determines acceptable next steps under the firm's policies and records how the case is resolved.

Can a receipt be matched by amount alone?

Amount alone may be ambiguous. Check the source transaction, date, merchant, client and other available context. Multiple plausible matches should remain open for review.
