Check delivery before treating silence as delay
Check delivery before escalating, so your team fixes the communication problem instead of adding more unanswered reminders to the queue.
Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.
Microsoft: Delivery notifications explains that delivery confirmation does not establish reading. Microsoft: Review flagged messages helps locate flagged messages for follow-up. Use those controls to find the original attempt and its outcome, but do not infer that a recipient understood the request because a message left your outbox.
Gather the minimum delivery facts
Record the request reference, intended recipient, send time, sending channel and observed failure information. Check for an address typo, a returned rejection or a message still waiting to send. Preserve the relevant diagnostic text privately, excluding unnecessary technical or personal information from client-facing notes.
Compare the address with the firm's confirmed contact record. Do not guess a replacement address from a name pattern. If the intended contact has changed, use the normal confirmation and access process before sending evidence or private links to someone else.
Separate four outcomes
Synthetic example: a coordinator reviews four document requests before a scheduled escalation meeting.
| Request | Observed evidence | Interpretation | Next action |
|---|---|---|---|
| R81 | Mailbox rejected the address | Delivery failed | Confirm correct address through an established route |
| R82 | No delivery signal or reply | Delivery unknown | Check the original attempt and agreed contact route |
| R83 | Delivery receipt only | Mailbox delivery confirmed | Do not label as read or accepted |
| R84 | Client asks which report is needed | Substantive response | Clarify the requirement rather than escalating silence |
A read receipt, when available, still does not prove that the requested work was understood or completed. The operational outcome remains the actual evidence or answer supplied.
Recover without multiplying attempts
If the original send failed, correct the confirmed problem and make one documented new attempt. Link it to the same request. If acceptance by the sending service is uncertain, reconcile the outcome before repeatedly retrying; otherwise the client may receive several copies after a delay.
The follow-up can explain the facts briefly: “Our earlier request was returned as undeliverable. We have confirmed this address and are resending the current outstanding list.” Avoid suggesting the client ignored a request that did not reach them.
Escalate the remaining issue accurately
Once delivery is reasonably established, decide the next step from the response agreement and blocked work. Keep absence, access trouble and unavailable evidence separate from delivery failure. If delivery remains unknown, report that uncertainty instead of inventing an engagement or responsiveness conclusion.
Review a small sample of escalated requests for delivery evidence and wrong-address corrections. the related workflow guide connects this check to reminder timing. Use the workflow audit checklist to count avoidable contacts caused by delivery problems, distinguishing successful resend from actual document receipt and acceptance.
