Where the extra work starts

Link it to the version it replaces so the next person uses the right evidence and can see what needs checking again.

Once someone owns the email, the invoice PDF may still need to be keyed into Excel. Download the attachment through your approved process, then use ParseMill to extract, review and export it. Shared-inbox routing and replies remain with your existing email tools.

Use receipt events to distinguish versions even when filenames are identical. The word “final” in a filename is not a substitute for a confirmed relationship between the files.

A practical way to get it right

Record the new message reference, received filename and time. Read the covering instruction to determine whether the sender describes replacement, supplementation or correction. Link the new file to the existing action and mark it as the current candidate awaiting review.

Notify the action owner before they continue from the older copy. Ask them to assess the change relevant to their task and decide which evidence now governs the work. If the file supplements the original, preserve both references and describe the combined coverage.

Once the decision is made, label the older working copy superseded where appropriate and update the active evidence link. Retain the change note, reviewer and date. If earlier work used the old version, identify what needs rechecking rather than assuming the revision has no downstream effect.

Microsoft: Reply to or forward an email message explains that replies omit original attachments. A reply containing a newly attached file therefore needs its own receipt entry, not an assumption that it is the old copy.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

ReceiptFileVersion decision
M181, Mondayreport.pdf / U51Initial working evidence
M184, Tuesdayreport.pdf / U58Candidate replacement; review pending
Decision D58U58 includes corrected page 2Use U58; recheck page-2-dependent work

The two files share a name but have different receipt references. Only D58 establishes which copy should be used. Copy the version table and add storage links accessible to the assigned owner. If the newer upload contains only page 2, the decision must describe a supplement to U51 rather than falsely labeling U58 a complete replacement.

Catch the cases that create rework

If the covering email is unclear, ask whether the file replaces or supplements the previous submission. Do not compare filenames alone. If a colleague has already exported or distributed work based on the old copy, record those outputs for review and tell their owners about the change.

Avoid deleting superseded evidence as a way to prevent confusion. Use the firm's retention practice and a clear active-version pointer so the history remains understandable.

Microsoft: Create, reply to, or forward Outlook.com messages allows attachments to be removed from a forward. Verify the files actually received before deciding that the complete replacement package reached the owner.

Decide whether the change is worth keeping

Open the action as a covering colleague. The active evidence should be obvious, the reason for the change should be recorded and any recheck should have an owner. Sample later replies to ensure the obsolete attachment has not been reintroduced through a forward. Version control works when the team can explain both what is current and why.

The workflow audit checklist can help record the observed friction before considering a change.
