Identify the intended owner before filing

Separate them at intake so a convenient combined folder does not force the preparer to untangle ownership under pressure.

If supplier invoice PDFs need to become a business-expense workbook, test that step in ParseMill. It extracts invoice fields and line items for your review and Excel export. For tax forms, package completeness and preparer handoffs, bring one recurring bottleneck to a scoped workflow review.

This is an organizational control for intake staff. The practitioner remains responsible for deciding how a document is relevant to the work. Some evidence may legitimately support more than one package, but that relationship should be explicit and access should reflect the firm's approved arrangements.

Separate document ownership from upload access

The person who uploads a file may be an authorized contact for several clients. Record the uploader as provenance, then independently record the apparent subject or recipient on the document. Use internal account references to avoid confusing similarly named entities, and link questions to the exact source page that raised them.

TaxDome: Document organization describes folder-based document organization, while TaxDome: Folder permissions explains that moving documents can change inherited permissions. Check the destination's access before moving a file. A correct label in the wrong shared folder can still expose material to an unintended audience. Do not solve ambiguity by placing the document in every possible location.

Map a mixed upload

In this synthetic example, one contact uploads documents for two individuals and their company. The intake owner inventories each artifact before distributing any working references.

ArtifactObserved recipientProposed route
A16Rowan and Morgan jointlyJoint-client package; confirm scope
A17Rowan Consulting LtdCompany package
A18Rowan; entity unclearUnresolved ownership question

A18 remains in an approved restricted intake location while the responsible staff member confirms its intended subject. If A16 is relevant to separate workstreams, retain one source identity with explicit links where your system supports them, or document controlled copies. Avoid inventing an ownership conclusion from the uploader's account.

Review ambiguous and shared evidence

Ask a focused question that identifies the document without including unnecessary sensitive detail. For example: please confirm which client or entity the file labeled A18 concerns and the period it relates to. Keep the answer with the routing decision so the next reviewer can understand why the assignment was made.

  • Verify the printed recipient against the internal account.
  • Check similarly named entities separately.
  • Confirm the period for each package link.
  • Review destination permissions before moving or copying.
  • Record the decision when one source serves several packages.

Do not rename an ambiguous document with an assumed entity name and treat that new filename as evidence. If staff later discover a misroute, correct access and notify the appropriate internal owner under the firm's process. Also check whether someone has already used the document in preparation.

Check the package map at handoff

Sample the final manifest against the source documents. Another staff member should be able to identify the intended recipient, the package assignment and any shared use without relying on memory. Unresolved items should remain visible with an owner rather than disappearing into a miscellaneous folder.

Use the related workflow guide to connect ownership checks to the wider intake process. the workflow audit checklist can help distinguish time spent identifying a source from time spent requesting missing evidence. When testing a workflow, include a shared contact and similarly named entities so the routing controls face a realistic ambiguity.
