Replace internal shorthand with an identifiable object

Replace the vague request with a recognizable document, period and action so the client can answer without another exchange.

Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.

The aim is to make the next action clear without telling the client which accounting conclusion to reach. If several source types might satisfy the need, ask the reviewer to identify acceptable alternatives before listing them as interchangeable.

Diagnose the ambiguous part

Check whether the confusion concerns document name, period, entity, account, format or purpose. Ask one narrow clarification if needed. Then rewrite the request and retain the earlier wording in history so another staff member understands why the response date changed.

Microsoft: Writing email recommends clear, considered email practices. TaxDome: Request actions documents that editing a native request can depend on response progress. If the original request can no longer be edited, issue a clearly linked clarification rather than creating an unrelated duplicate obligation.

Rewrite three unclear requests

Synthetic examples below show the distinction between internal vocabulary and a client-recognizable action.

Original wordingProblemClearer request
Send the merchant recInternal abbreviationPlease provide the September settlement report from the card payment provider for account M2
Need the loan scheduleSeveral possible documentsPlease send the repayment schedule for the equipment finance agreement identified in request R90
Upload the current bank filePeriod and format unclearPlease send the statement covering the agreed September dates for operating account O1

These descriptions still need to match the actual engagement. Do not copy them into a live request without confirming the source and identifier the client uses.

Check comprehension without creating a burden

A useful reply can say, “By settlement report, we mean the provider's report showing the deposits for the September period; if your system uses a different name, tell us what reports you can see.” This invites a concrete answer instead of making the client guess which unfamiliar label the firm expects.

If the client sends an example, inspect it before deciding whether the problem is solved. Confirm the period and purpose, and ask the reviewer if sufficiency is uncertain. A clearer description should not become an unsupported claim that any similarly named report will do.

Update the reusable instruction

Once the wording is confirmed, improve the standing checklist or message template for future cycles. Keep client-specific distinctions where they matter. A universal template that removes every account and period reference can recreate the ambiguity you just resolved.

Test the revised wording with a colleague unfamiliar with the client. They should identify the requested object and the condition for completion without asking the original author. the related workflow guide covers accurate chasing; use the workflow audit checklist to track clarification requests and whether improved descriptions reduce repeated exchanges.
