Code the observed cause of each missing receipt
Find where evidence is lost or requests become unclear, then change that step before adding more reminders.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
Treat cause coding as an operational learning exercise. Do not infer that a particular employee is careless or that a new tool caused an improvement without supporting evidence. Keep unknown as a valid code when the record does not explain the gap, and record the basis for any classification.
Define codes that lead to different actions
A useful code changes the proposed response. Capture failure may suggest clearer collection instructions; routing delay may suggest an ownership map; unreadable evidence may require image guidance. A query waiting on professional judgment belongs in review, even if the original task began as a missing-receipt request.
Microsoft: Refreshing filters describes reapplying worksheet filters after data changes. Microsoft: Sorting data describes ordering by several columns. These features can help inspect coded cases, while the proposed definitions keep the analysis meaningful. Refresh the view before counting so newly updated cases are not silently left out of the comparison.
Classify a fictional sample
The example below uses five cases and makes the evidence for each code explicit. These are invented records, not customer performance results.
| Case | Recorded observation | Cause code |
|---|---|---|
| R171 | Employee says paper receipt was not retained | Capture failure |
| R172 | File sat in an unmonitored mailbox | Routing delay |
| R173 | Two images have unreadable totals | Image quality |
| R174 | Card assignment cannot be confirmed | Ownership unresolved |
| R175 | Receipt arrived; reviewer decision pending | Internal review |
Do not classify R175 as client delay merely because it remains open. If one case has several contributing causes, choose a primary current blocker and retain secondary notes. That prevents double counting when reporting totals while preserving the context needed for improvement.
Compare like periods and populations
Define the review period, included clients or accounts, query creation rule and whether the count represents transactions or messages. A change in workload mix can change the number of missing receipts without any process deterioration. Keep reopened cases distinguishable from newly created ones and record any changes to the coding definitions.
- Use observed facts as the basis for each code.
- Keep unknown and mixed causes visible.
- Count stable query identities rather than reminder messages.
- Separate new, carried-forward and reopened cases.
- Record the population and period behind every comparison.
If testing a new capture instruction, state the expected mechanism and inspect comparable cases afterward. Report the observed result with limitations rather than claiming causation from a small before-and-after count. A useful finding can be that routing information is missing, even before an improvement is measurable.
Turn the findings into a small experiment
Choose one repeated cause, one owner and one proposed change. For example, test a clearer image request on the next suitable cases and check whether the specific defect is resolved. Keep the other controls stable where practical so the result is interpretable.
Use the related workflow guide for the full receipt process and the workflow audit checklist to connect cause patterns to workflow changes. The aim is a better explanation of recurring gaps, followed by a testable response, rather than a dashboard that labels every open item as the same problem.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
Eligible new workspaces: 10 pages for 7 days after email verification. No card or automatic subscription.
Invoice processing: $49 USD/month · 500 PDF pages · one user. Buy only after you have checked the fit on your own invoices.
If collection, ownership or handoffs are the bigger problem, discuss this workflow with us. We agree the scope and any fee before starting a review.
