Review outcomes instead of judging silence

Compare which requests produced usable evidence and which needed a different approach, so your team spends effort on resolving gaps rather than increasing message counts.

Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.

Choose a bounded sample of actual requests and record the selection period. Include unresolved cases, not only successful replies. The purpose is to improve the process, not to manufacture a response-rate claim from an incomplete or convenient set of examples.

Code observable outcomes

Use categories such as evidence supplied, clarification requested, access problem, unavailable evidence, revised commitment and no substantive response observed. Keep unknown delivery separate where relevant. Record the actual request count and the date through which outcomes were checked.

Microsoft: Conditional formatting supports highlighting matching worksheet values. Microsoft: Writing email cautions against overusing urgency signals. These can support a practical review, but color and subject-line intensity are not measures of effectiveness. The case notes should explain what the client needed and whether the reminder helped them take the next step.

Work through a small review sample

Synthetic example: ten invented requests are reviewed after one follow-up cycle. This is a method illustration, not ParseMill customer performance.

Observed outcomeCasesPotential process question
Evidence supplied4Was the request already clear and accessible?
Clarification requested2Which wording or period reference was unclear?
Access problem1Could the approved upload route be explained better?
Revised commitment1Was the original timing realistic?
No substantive response observed2Is delivery known, and what next action is appropriate?

The counts total ten cases. They do not establish that a particular message caused four deliveries, and they do not show that the two silent clients refused to cooperate.

Look for a repeated, repairable cause

Read the underlying cases before changing the template. Two clarification replies about different issues may not justify the same edit. One might need an entity label; another might need a clearer document description. Record the proposed change and the specific failure it addresses.

Keep message wording, timing and access changes separate where possible. If several things change at once, describe the later comparison as observational rather than a controlled experiment. Avoid claiming that a small sample proves an optimal cadence or a reliable percentage improvement.

Check usefulness in the next cycle

Apply one sensible improvement and inspect the next comparable set of requests. Record counts, missing observations and any new problems. Include handling effort: a lower message count is not necessarily better if staff spend much longer reconciling vague replies.

the related workflow guide provides the chasing workflow to improve. the workflow audit checklist can hold the observation notes and active-time measurements. A useful outcome is a clearer next action and fewer preventable corrections; actual acquisition, customer savings or broad performance claims require separate evidence.

Put it to work with ParseMill

Is invoice preparation the next bottleneck?

If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
