Preserve the agreement to wait
Give the request a clear restart date and owner so it returns to the queue without another round of checking what the client promised.
Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.
Keep the requirement open in a state that reflects waiting under an agreement. Do not mark it complete, and do not leave the original reminder sequence running while a separate note says to wait. Those conflicting instructions make the next contact appear careless.
Set an internal checkpoint
Schedule a staff check before the next client message. Microsoft: Follow-up flags supports reminders for the sender's own follow-up. TaxDome: Request actions documents limits on editing requests after clients begin responding. If your portal restricts changes, preserve the revised agreement in the allowed record and inspect the active reminder controls separately.
The checkpoint should ask whether the promised evidence has arrived, whether the client's circumstances changed and whether the original request is still correct. It should not blindly trigger the old message. Record the actual decision to resume, extend or escalate.
Work through a short pause
Synthetic example: request R37 concerns a September card statement. The client says access will be restored on October 11 and agrees to send the file afterward.
| Event | Record | Next action |
|---|---|---|
| October 6 agreement | Pause R37 through the agreed access-recovery interval | Stop contradictory routine reminders |
| October 11 staff check | No file yet; client has not confirmed access | Check the latest response before contacting |
| October 12 follow-up | Acknowledge the previous agreement | Ask whether access is restored and when the file can be supplied |
| October 13 arrival | File U127 received | Perform acceptance checks; end pause history |
The return message is contextual: “Following our agreement to wait for access recovery, is the statement now available?” It does not pretend the client ignored every earlier message.
Handle another delay without losing accountability
If the client needs more time, record the new information and ask the engagement owner whether the blocked work can wait. Do not keep extending the date automatically without an operational decision. Equally, do not escalate solely because the original date passed when the team already accepted a revised commitment.
If the document becomes unavailable, move to an evidence-gap decision rather than another pause. If it is supplied through a different channel, reconcile that arrival before sending anything. A pause record should link to the authoritative requirement, not become a competing list.
Confirm the resumed workflow
When resuming, verify recipient, item wording, remaining need and new due date. Check both manual drafts and native scheduled reminders. Preserve the pause interval and outcome for later workload review; it explains why elapsed waiting time differs from staff handling time.
Test the procedure with a synthetic paused request and an early upload. The expected outcome is no reminder after accepted receipt. the related workflow guide describes the broader chasing process, while the workflow audit checklist can help identify whether repeated pauses reflect access problems, unclear instructions or an unrealistic original schedule.
