Retain the first image and explain the failed check
Ask for the specific improvement needed and retain the original so a clearer replacement can be checked quickly.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
A clear request identifies the obscured field or missing area without guessing its content. For example, ask for the bottom section containing the total and all page edges, rather than asking for a better receipt with no explanation. Keep the transaction reference stable throughout the exchange.
Use observable quality criteria
Check whether the apparent merchant, relevant date, amount, currency and needed purchase detail can be read, along with any required continuation. Record which criterion failed. The exact acceptance requirements belong to the firm's process and reviewer; the image check should not imply that readability alone establishes professional sufficiency.
Intuit: Receipt review describes review of uploaded receipt evidence. Microsoft: Save an Outlook message describes preserving received messages as files in supported Outlook versions. If the first image arrived by email, retain its message context through the approved storage process. The proposed rejection card links that arrival to the replacement request and later decision.
Follow one replacement through the record
This fictional example concerns glare over the total. The original image remains part of the submission history while the clearer version becomes a candidate working source.
| Event | Evidence reference | State |
|---|---|---|
| First submission | E51, message M82 | Total obscured by glare |
| Focused request | Q104 | Ask for complete image without glare |
| Replacement | E58, linked to E51 | Quality check pending |
| Review outcome | Decision D27 | Readable; transaction relationship still checked |
The final row deliberately separates image quality from matching. A sharper image may reveal that the receipt belongs to a different transaction. If so, record the new finding and keep the relevant query open instead of accepting it merely because the original defect was fixed.
Check the replacement against the original request
Compare the new image to the failed criteria and confirm that it still concerns the intended receipt. Check whether cropping has removed context, whether multiple images cover both sides, and whether a full document is needed. Avoid requesting the same correction again when the client has already supplied it.
- Retain the first submission reference and arrival date.
- Describe the observable quality defect.
- Ask for a specific replacement or missing section.
- Link the new artifact to the earlier one.
- Recheck readability and transaction identity separately.
If the client cannot produce a clearer image, route the limitation to the reviewer. Do not fill unreadable numbers from a bank amount or an expected total. A transcription that appears to match can conceal the fact that the evidence never supported the value.
Review whether requests are actionable
Sample replacement requests and ask whether a person holding the paper receipt would know how to correct the problem. Vague wording suggests the quality check needs a better description. Track repeated failures by defect so the team can improve capture instructions using observed cases.
Use the related workflow guide for the broader receipt process and the workflow audit checklist to examine where image quality causes rework. A good workflow preserves submission history and makes the next capture attempt specific, without claiming that an improved photograph resolves every evidence question.
