Reopen the specific question the review invalidated
Keep the reviewer's reason with the original evidence so the next check fixes the mismatch instead of repeating the same comparison.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
A rejected match may reveal a different purchase, wrong period, duplicate evidence or incomplete context. Those reasons lead to different next actions. Record the observation and the reviewer's decision rather than using a generic reopened label that forces the next person to rediscover the problem.
Separate evidence correction from accounting correction
The query log records the evidence relationship and follow-up. If a financial record or posted match must change, the authorized person should use the approved accounting process. Intake staff should identify the affected record and decision without making an unreviewed posting change merely to align the query dashboard.
Intuit: Matching bank transactions describes reviewing and undoing matches in QuickBooks. Microsoft: Workbook changes describes viewing worksheet changes in supported Excel versions. These tools can help inspect changes, but the proposed reversal log adds the reason and next action. A changed state alone does not explain why the prior decision no longer stands.
Record a fictional reversal
The example below keeps the transaction query stable while replacing an invalid evidence relationship. It preserves the original arrival and the later finding.
| Event | Record |
|---|---|
| Initial acceptance | R162 linked to receipt E121 |
| Reviewer finding | E121 concerns another purchase with the same amount |
| Reversal | Relationship rejected; decision D44 retained |
| Reopened question | Obtain evidence for transaction B162 |
| Next owner | Collection coordinator; reviewer checks new candidate |
If E121 validly supports another transaction, route that relationship separately with review. Do not delete the receipt simply because it failed this match. Conversely, remove or qualify misleading links that still imply E121 is accepted evidence for B162, while preserving the historical decision trail.
Tell the client what changed
If another client response is needed, acknowledge the prior submission and explain the specific mismatch. For example, the supplied receipt relates to the earlier purchase; please provide the record for the listed transaction. Avoid saying no receipt received when the real issue is that the received evidence was rejected for this relationship.
- Preserve the original match and acceptance date.
- Record the reviewer and concrete rejection reason.
- Identify any affected accounting work for authorized correction.
- Reopen only the unresolved evidence or explanation question.
- Check the new response against the rejection criteria.
A reopened query should not inherit a reminder schedule that implies the client ignored the original request. Set the follow-up based on the new question and agreed process. If the review finding changes the entire evidence set, explain that scope rather than reopening every item without a reason.
Verify the corrected trail
From the query, a colleague should see the rejected candidate, the reason it failed and the current next action. From the replacement evidence, they should find the new review decision. Check that the old candidate cannot be mistaken for the selected source in an exported handoff.
Use the related workflow guide for the broader receipt workflow and the workflow audit checklist to investigate repeated rejected matches. Review the causes of reversals so the initial check improves, while retaining a practical way to recover when a reasonable first decision proves wrong.
