Where the extra work starts
Recover the file with its relevant context so the handoff can continue without another round of guesswork.
Once someone owns the email, the invoice PDF may still need to be keyed into Excel. Download the attachment through your approved process, then use ParseMill to extract, review and export it. Shared-inbox routing and replies remain with your existing email tools.
Keep the task open with an explicit missing-evidence state. A sentence saying “attached” is evidence of the sender's intention, not evidence that the recipient possesses the file.
A practical way to get it right
Inspect the actual received attachment list and the new text of the forward. Note the filename or description mentioned, the relevant original message date and any visible link. Do not treat a small image in a signature as the requested supporting document.
Ask the internal forwarder to inspect the original message and confirm what it contains. If the original includes the file, have it supplied through the approved channel with its source reference. If it is a cloud link, check the intended recipient's access rather than requesting another copy unnecessarily.
If the original also lacks the attachment, send a narrow request to the established client contact identifying the missing document and relevant request. Record who will obtain it and when the action owner should check again. Preserve both the forward and original references when available.
Microsoft: Reply to or forward an email message distinguishes reply attachments from forwarded attachments. Check the actual message containing the named file rather than assuming every copy carries it.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Check | Synthetic finding | Next step |
|---|---|---|
| Forward M209 | Mentions schedule.pdf; no file | Ask internal forwarder |
| Original M205 | Contains schedule.pdf as U71 | Supply U71 through approved location |
| Receiving owner | Can open U71 and identify period | Resume action A209; review still required |
This example resolves an internal transfer gap without asking the client to resend material already supplied. Copy the check, finding and next-step columns. If the second row instead showed no attachment, the next step would be a client request. The final row proves access and identification, not professional acceptance of the document's contents.
Catch the cases that create rework
A forwarded chain may quote an attachment reference from an older message while the actual file belonged to a different reply. Inspect the relevant message rather than assuming the latest one contains everything. Outlook replies and forwards have different attachment behavior, so the action label alone cannot prove what arrived.
Do not download unknown files from an unexpected link simply to clear the task. Use the firm's normal source and access checks, and escalate uncertain content through its established process.
Microsoft: Create, reply to, or forward Outlook.com messages permits removing attachments before forwarding. Ask the forwarder to inspect the original when the received copy refers to an absent file.
Decide whether the change is worth keeping
Close the recovery step only when the action owner can access the correct evidence and the source relationship is recorded. Resume the underlying review with its original completion condition. Track whether missing files arise at client submission, internal forwarding or access transfer; those causes require different fixes and should not all be reported as client nonresponse.
The workflow audit checklist can help record the observed friction before considering a change.
