Stop repeating the same unavailable-document request
Record the explanation and route the evidence gap to the reviewer so the next step becomes a decision instead of another chase.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
Keep the transaction query open in a state such as evidence unavailable, review required. This distinguishes a known obstacle from a request the client has ignored. It also gives the next staff member enough context to avoid restarting the same unproductive chase.
Capture facts without inventing adequacy
Record query reference, transaction context, receipt requested, client statement, attempts described, available alternative material and decision owner. Preserve the client's wording where it matters and distinguish it from staff interpretation. Do not ask for excessive detail simply to fill a form; the reviewer needs the information relevant to the decision.
Intuit: Transaction requests describes gathering transaction explanations and receipts. Intuit: Transaction attachments describes attaching files to supported records. These features can preserve the information supplied, but attaching an explanation does not make it equivalent to a receipt. The proposed handoff keeps that distinction explicit.
Use an unavailable-evidence handoff
This synthetic example concerns a receipt the client says the merchant cannot reissue. The record carries the obstacle to the reviewer without deciding what treatment follows.
| Field | Example |
|---|---|
| Query | R91, purchase EUR 42.70 |
| Client statement | Original lost; merchant says no replacement available |
| Source | Client message M62 |
| Other material | Payment record and client explanation linked |
| Current state | Evidence unavailable; reviewer decision pending |
| Next owner | Authorized bookkeeping reviewer |
The reviewer may request further clarification, consider another source under the applicable process or leave the work blocked. Record the actual decision and its scope. Do not fill the decision field with accepted merely because the client has responded to the request.
Control reminders and related work
Stop or revise reminders that demand the unavailable document while the decision is pending. Keep a separate reminder for the internal review if needed. If the reviewer requests a particular alternative, create that specific action linked to the original query, rather than erasing the fact that the initial receipt remains unavailable.
- Preserve the original evidence requirement.
- Record the client's explanation and relevant attempts.
- Distinguish available alternatives from accepted evidence.
- Assign the decision to an authorized reviewer.
- Update reminders to match the current next action.
If the receipt later becomes available, link the arrival to the same query and notify the reviewer. A prior unavailability decision may need reconsideration in light of new evidence. Retaining the original query reference makes that change easier to trace than creating a disconnected new task.
Verify the closure reason
Before closing the query, confirm the reviewer has documented the outcome and any follow-up condition. If the work remains blocked, keep an open owned blocker. A closed client message thread is not sufficient evidence that the underlying transaction question has been resolved.
Use the related workflow guide for the overall receipt workflow and the workflow audit checklist to separate client waiting time from internal decision time. The improvement to seek is an accurate next action, with the known obstacle preserved for everyone who touches the work.
