Make the change effective from a defined period
Record what changed and when it applies so you do not spend the next cycle reconciling contradictory requests.
A complete client folder still leaves someone turning supplier invoices into spreadsheet rows. That is the step ParseMill handles: upload invoice PDFs, review extracted details and line items beside the source, then download Excel. Keep document requests and engagement tracking in your existing process.
Begin with the reason: a new account, retired source, clearer wording or changed scope. Distinguish a correction to an erroneous checklist from a genuine change in the client's circumstances. Both need communication, but they do not imply the same responsibility for missing information.
Keep a compact change log
Record change reference, affected requirement, previous definition, new definition, effective period, reason, approver and communication date. Link the change to active packages that need attention. If it applies only to future cycles, state that explicitly instead of assuming everyone will infer the timing.
Microsoft: Workbook changes can display previous worksheet values in supported Excel versions. For US firms, TaxDome: Document checklists supports updating checklist items. Use those features to inspect what changed, while retaining the business reason and effective date in your own note. An edit timestamp alone does not explain whether September should be reopened or only October updated.
Apply one change to several cycles
Synthetic example: Ash Lane Retail replaces a monthly merchant summary with two settlement reports from October onward.
| Package | Existing expectation | Action after change C12 |
|---|---|---|
| September, already accepted | One merchant summary | Retain acceptance; no new request unless reviewer finds a separate issue |
| October, request sent | One merchant summary | Notify client of two-report requirement and revise the request |
| November, not created | Old standing definition | Use the new definition when creating the cycle |
C12 records the source of the change and its approving reviewer. It does not relabel September as incomplete merely because the new requirement is more detailed. October's due date should be reviewed in light of the revised instruction rather than inherited without discussion.
Communicate the difference precisely
Tell the client what is added, removed or clarified. A useful message says, “From October, please provide both the card and marketplace settlement reports; the earlier single-summary request is replaced.” Keep the wording aligned with what the client can actually identify in their systems.
Check whether active reminders still use old descriptions or saved message text. Updating a master checklist may not update every existing request or scheduled message. Inspect the actual active work rather than assuming the change propagated everywhere. Where native software behaves differently, follow its current documented update limits.
Verify the change on a test cycle
Create or inspect the next cycle and compare it against the approved definition. Check item count, frequency, owner, period and instructions. Confirm that removed items do not reappear from an older template and that accepted prior-period work remains intact.
A colleague should be able to answer why the requirement changed and which periods it affects using only the log. the related workflow guide explains the overall collection record. Use the workflow audit checklist to measure repeat requests or review returns caused by template drift before deciding whether further automation is justified.
