Where the extra work starts

Hand over the open commitments, next actions and deadlines so cover can focus on what actually needs attention.

Once someone owns the email, the invoice PDF may still need to be keyed into Excel. Download the attachment through your approved process, then use ParseMill to extract, review and export it. Shared-inbox routing and replies remain with your existing email tools.

Agree the coverage dates and the scope of authority before handing over. Access to the mailbox alone does not establish permission to make every decision the usual owner would make.

A practical way to get it right

Review actions whose next step falls during the absence. Group them by immediate work, external waiting, internal dependency and escalation. For each, record the latest evidence, promised date, next check and what event should change the state.

Have the receiving colleague open the relevant records and confirm access before the absence starts. Ask them to accept the handover and identify any decisions outside their authority. Name a lead for those decisions. Keep future recurring work in view so a temporary assignment does not unexpectedly alter later ownership.

Arrange the return handover as part of the same plan. The covering colleague records actions taken, new commitments and remaining questions. The returning owner reviews those changes before sending new reminders or resuming an old draft.

Karbon: Managing colleagues on leave documents work reassignment and shared work views. Choose the option that fits the coverage scope, and check recurring assignments after temporary changes.

This sheet contains three live actions and a return procedure. It is intentionally organized by what the cover person should do, rather than by message age alone. Copy the layout and add source links, accepted owner and coverage dates. Do not copy all attachments into the sheet when a permitted link will preserve the evidence more clearly.

Catch the cases that create rework

If access fails, resolve it through the normal administrator before relying on the handover. Do not share the absent person's credentials. If an unexpected request arrives, route it according to the agreed scope and escalation contact; the cover person should not guess whether a new commitment is authorized.

Check recurring assignments after temporary changes. The next cycle may need the original owner even when the current action remains with the cover colleague.

Microsoft: Share and access another person’s mailbox describes permission-based access. Test the covering colleague’s access before the absence instead of discovering a blocked evidence link during a deadline.

Decide whether the change is worth keeping

Run a brief read-through: the cover person should explain today's next actions, the commitments that cannot be missed and who handles exceptions. On return, reconcile the change log with the live queue so no item has two active owners. Record any context that had to be reconstructed during the absence; that is the most useful input for improving the next handover.

The workflow audit checklist can help record the observed friction before considering a change.
