Prepare a safe representative PDF for an extraction trial

Where the extra work starts

Choose one that contains the layouts and exceptions that matter, so the result tells you something about the work you want to stop doing manually.

Prefer a synthetic reconstruction when it can represent the relevant structure accurately. If using a real document, follow the firm's source-sharing and preparation process and have the final sample checked before distribution.

A practical way to get it right

List the features the trial must exercise: text layer, exact headings, alignment, page continuation, identifiers, signs and blanks. Build an invented example with those features and known expected output. Clearly label it synthetic and retain the source used to create it.

If an authorized real sample is necessary, identify visible and non-visible information that must be removed. Use proper redaction and sanitization through approved tools rather than drawing boxes or cropping. Save a separate prepared copy and preserve its relationship to the original without including unnecessary sensitive details in the trial notes.

Reopen the prepared sample and test text selection, headings, rows and expected values. Preparation can change the very structure being evaluated. Record which properties match the production class and which were altered, so a successful trial is not generalized beyond the evidence.

Adobe: Remove sensitive information requires marking and applying redactions, followed by saving the prepared file. A visual annotation alone is not the documented removal process.

What this looks like on a real task

The sample contains no real client identifiers, but it retains meaningful failure conditions. Copy the feature, choice and purpose columns when preparing your own fixture. The invented values should remain clearly labeled so nobody later treats them as a customer document or observed commercial outcome.

Catch the cases that create rework

A black rectangle, white overlay or crop is not evidence that underlying content was removed. Check the final prepared file using the approved review process, including non-visible content where relevant. Do not claim anonymization merely because names are no longer obvious on the first page.

A synthetic sample also needs quality review: if its headers are cleaner or rows simpler than production, record that limit and create a more representative fixture before expansion.

Decide whether the change is worth keeping

Share only the reviewed sample and its scope note through an approved route. The recipient should know what the sample demonstrates, its expected output and its limitations. Use the public examples to understand the review workflow first, then compare your representative fixture. Fit evidence should grow from controlled examples rather than from unnecessary exposure of production documents.
