Index the original bundle before rearranging it

Put the documents in a usable order and flag uncertain items so review starts with the work that needs judgment.

If supplier invoice PDFs need to become a business-expense workbook, test that step in ParseMill. It extracts invoice fields and line items for your review and Excel export. For tax forms, package completeness and preparer handoffs, bring one recurring bottleneck to a scoped workflow review.

Start with the PDF's displayed page positions and distinguish them from page numbers printed on the source. A document's printed page one may begin at PDF page seventeen. Record both when necessary so a colleague can locate the exact evidence even if the bundle contains several separately numbered documents.

Map boundaries and uncertainty

Inspect the bundle for apparent document starts, continuation pages, attachments and period changes. Mark uncertain boundaries rather than forcing a classification. An unlabeled continuation may belong with the preceding form, but that relationship should be confirmed before a derivative file is treated as a complete standalone document.

TaxDome: Merge and split files describes merging and splitting files. TaxDome: PDF editing describes PDF page editing. Those operations can help prepare working copies, but the proposed index should precede them. Record source ranges for any derivative so the original order and context remain recoverable after pages are reorganized for review.

Build a page map

This fictional twelve-page bundle contains several evidence groups and one unresolved page. The map avoids turning the ambiguous page into an assumed supporting statement.

PDF pagesApparent contentIntake note
1–3Schedule A, printed period 2025Boundary appears complete
4–7Statement B, prior-period referenceReference-only pending review
8Unlabeled continuationRelationship requires confirmation
9–12Schedule C, period unclearPeriod question assigned

All twelve pages are accounted for, including page eight. The preparer can work from the original with this index, or from approved derivative copies linked to the ranges. Do not drop the unresolved page simply because it does not fit a category in the current checklist.

Check any reordered or split copy

If creating a review copy, compare it with the original map. Confirm that every intended page appears once, the order is correct and supporting pages remain attached to the right document. Preserve the original artifact reference and label the new file as a derivative, with its purpose and source ranges.

  • Distinguish PDF positions from printed page numbers.
  • Account for every page in the source bundle.
  • Flag uncertain document boundaries.
  • Preserve period and recipient conflicts.
  • Verify derivative page counts and order.

A blank-looking page may contain a reverse side, note or required context; inspect it before excluding it. Likewise, a repeated cover page may be part of a second document rather than an accidental duplicate. Intake staff should record the observation and seek review where the relationship is uncertain.

Test navigation with the receiving preparer

Ask the preparer to locate a specific schedule, the historical reference and the unresolved page using the index. If the references are ambiguous, fix the mapping before handoff. The index should reduce navigation work while preserving questions, not conceal uncertainty behind tidy section names.

Use the related workflow guide for the overall intake sequence and the workflow audit checklist to assess how much preparation time is spent locating evidence. A small synthetic bundle is a practical test of any proposed document-classification workflow before it handles real client packages.
