Keep two page coordinates
Keep the mapping clear so a source reference takes the reviewer to the evidence without a search through front matter and appendices.
For multipage invoices, use ParseMill to review extracted invoice data beside the source and export separate summary and line-item sheets. Include a page break in your trial and check that every required line made it through. Other report types need their own fit assessment.
Adobe: Renumber pages in PDFs explains page numbering and labels in Acrobat. Use this distinction to make references understandable even when another viewer presents a different navigation label.
Copy this synthetic crosswalk
The following invented seven-page packet demonstrates three numbering systems. Its physical positions are unique within this particular file; its printed labels are not. “Unnumbered” is an observation about the visible page, not a missing physical position.
| Physical position | Printed label | Section |
|---|---|---|
| 1 | Unnumbered | Cover |
| 2 | i | Introduction |
| 3 | ii | Contents |
| 4 | 1 | Main report |
| 5 | 2 | Main report |
| 6 | 1 | Appendix A |
| 7 | 2 | Appendix A |
A row from physical position 6 should therefore cite Appendix A, printed page 1, physical PDF page 6. Referring only to page 1 could send a reviewer to the cover or the main report.
Build and verify the map
- Identify the received file and preserve its original order. Record a file hash or an immutable version identifier in the review record.
- Walk through every physical position and transcribe the visible printed label and section name. Do not infer labels for blank or cropped pages.
- Join extracted records to the crosswalk using the physical position supplied by the extraction process. Verify that the process counts from the same first page.
- Open at least one record from each numbering section using the resulting reference. Check the actual row identifier as well as the page.
Microsoft: Table.AddIndexColumn documents explicit positional index columns. An index can support a crosswalk, but its starting value and ordering must match the received PDF before it is called a physical page number.
Avoid hidden assumptions
An inserted replacement page can invalidate every later physical reference while leaving printed labels unchanged. A new PDF export may also alter labels without moving content. Treat either event as a source revision and regenerate the crosswalk. Do not reuse the old map merely because the filename is unchanged.
If the supplier prints “Page 2 of 4” twice, retain both observations and add the section or report identifier needed to distinguish them. A duplicate label is not evidence that one physical page should be deleted.
Use a reference another person can resolve
The expected outcome is an unambiguous route from each reviewed row to one page in one version of the source. Ask a colleague to locate the appendix row without verbal instructions. If they choose the wrong page, add the missing coordinate rather than describing the reference as good enough.
Try a multipage invoice with front matter in ParseMill and check whether its source references take you to the intended physical page. A workable handoff should let the receiving colleague locate the same invoice line without your explanation.
