Separate the entity before combining requests
Keep the request scoped to the correct business and contact so reducing email volume does not create a document mix-up or disclosure problem.
Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.
Grouping by contact alone can also expose information to someone who handles only part of the relationship. Confirm the recipient's authorized scope for each entity. If that scope differs, send separate requests through the approved channels rather than relying on a shared email address as permission.
Use an entity-first layout
For a permitted combined message, use a separate entity heading followed by item references, periods and required actions. Keep file-upload destinations equally clear. TaxDome: Document organization describes folder organization, while TaxDome: Folder permissions explains inherited access. Those mechanics help maintain separation, but the message and the folder must agree about which entity the evidence concerns.
Record the entity reference on every requirement. Do not rely solely on a heading that disappears when a row is copied into another sheet or forwarded. A staff member should still recognize the correct entity from the individual action record.
Compare a confusing and a clear request
Synthetic example: one finance contact handles Larch Services and Larch Retail. Both have a September card statement outstanding.
| Weak instruction | Clearer instruction |
|---|---|
| Please send both card statements | Larch Services, request LS-C9: September statement for the agreed Services card account |
| Also send the missing report | Larch Retail, request LR-S9: September card statement report |
| Upload them to the shared folder | Use the existing authorized destination identified for each entity |
The clearer version does not need to expose full account numbers in the message. It uses the firm's agreed account references and entity names. If the recipient cannot distinguish them, resolve the naming convention before sending more reminders.
Route mixed responses carefully
A client may answer correctly but upload every file together. Inspect the entity wording on each source and update the corresponding requirement. Keep ambiguous files in review; do not infer an entity from the order of attachments or the order of bullets in the email.
If a file supports several entities, ask the reviewer to define those relationships and any permitted sharing. Do not copy it indiscriminately into every entity folder. Moving a file can change access, so verify the destination's effective permissions as part of routing.
Check the next reminder and handoff
Before following up, confirm that the remaining items still belong to the same recipient scope and that received files were matched to the right entity. A correct file in the wrong package should trigger routing review, not a new request that the client believes they already fulfilled.
Test the layout with two synthetic entities using similar document names. Another handler should assign each response without guessing. the related workflow guide covers the wider reminder process, while the workflow audit checklist can record entity-related correction work and help determine whether clearer references solve the recurring confusion.
