Keep a relationship between versions

Keep it linked to the earlier version so the preparer can identify what needs another look without rebuilding the document history from email.

If supplier invoice PDFs need to become a business-expense workbook, test that step in ParseMill. It extracts invoice fields and line items for your review and Excel export. For tax forms, package completeness and preparer handoffs, bring one recurring bottleneck to a scoped workflow review.

A later arrival is not automatically a valid correction. The sender might have uploaded an older copy, an incomplete scan or a document for another recipient. Compare the identifying information and any correction marking before changing the working source. Record uncertainties instead of silently choosing the newest filename.

Build a short version chain

Use one document-family reference with separate artifact references. Store received date, apparent issuer, recipient, printed period, correction indication, predecessor and review decision. Keep the current working-version field separate from the historical record so that changing the selection does not erase prior activity.

TaxDome: Document actions describes document names and descriptions that can hold useful identifiers. TaxDome: Seal files describes a control that prevents client edits to sealed documents. Neither control supplies the professional decision about a correction. This proposed version chain can live in your existing register, with access managed according to the firm's normal document process.

Work through a corrected arrival

In this synthetic example, a preparer has already used document T44. A second file arrives two days later. Staff verify that its apparent recipient and year match, then place the decision in the preparer's queue.

ArtifactObserved relationshipIntake treatment
T44Original received MondayRetained; previously used
T57Marked corrected; same apparent issuer and yearLinked to T44; review required
Decision D8Practitioner confirms replacementT57 selected; T44 marked superseded

Until D8 exists, call T57 a candidate replacement. After the decision, notify anyone whose work refers to T44 and record acknowledgment. A status change in a folder alone may not reach the person who has already copied figures into another workpaper.

Check the affected work

The correction task should identify the preparation work that may need reconsideration, without an intake assistant deciding the tax effect. Ask the practitioner to confirm affected references, whether downstream review must reopen, and whether any further evidence is needed. Keep that decision attached to the version chain.

  • Confirm the new file is readable and complete.
  • Check recipient and period against the previous artifact.
  • Record the correction indication exactly as observed.
  • Locate work already using the previous version.
  • Retain an unresolved status until the reviewer decides.

Do not delete the old copy merely to make the folder look tidy. Conversely, do not leave both copies labeled current. If the new file changes only scan quality, record that distinction so the reviewer does not assume substantive figures changed.

Test whether the chain is usable

Ask a colleague to find the version used at handoff and the version now selected without asking the original intake owner. They should be able to identify the source, decision and affected work from the record alone. If they cannot, improve the links before expanding the method.

Use the related workflow guide for the wider intake process and the workflow audit checklist to examine where version questions interrupt preparation. When assessing software, test whether your team can preserve these relationships and decisions; do not equate a changed filename with a completed correction review.

Put it to work with ParseMill

Is invoice preparation the next bottleneck?

If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.

Eligible new workspaces: 10 pages for 7 days after email verification. No card or automatic subscription.

Invoice processing: $49 USD/month · 500 PDF pages · one user. Buy only after you have checked the fit on your own invoices.

If collection, ownership or handoffs are the bigger problem, discuss this workflow with us. We agree the scope and any fee before starting a review.
