Track evidence and explanation separately

Separate them so finding a file does not accidentally close the question about what the purchase was for.

If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.

The distinction helps route work to the right person. Evidence collection may sit with a coordinator, while interpretation belongs to an authorized reviewer. The method below is an operational proposal; it does not determine deductibility, approval or accounting classification from either state alone.

Build a two-axis record

For each transaction query, record evidence state, explanation state, source links, next-action owner and reviewer decision. Define states in plain language, such as not received, received awaiting check and accepted for the stated purpose. Keep a separate decision field for any professional conclusion or approval.

Intuit: Receipt review describes reviewing uploaded receipts before matching. Intuit: Transaction requests describes collecting explanations and documents. Those capabilities illustrate why a file and an answer should remain distinguishable. A system's completed request state may need an accompanying note if it cannot express both axes directly.

Read the four common combinations

The fictional examples below show that neither axis can reliably substitute for the other. The next action follows the unresolved question rather than a generic missing-receipt label.

EvidenceExplanationNext action
MissingMissingAsk for both with transaction context
ReceivedMissingAsk the focused context question
MissingReceivedObtain evidence or route unavailability decision
ReceivedReceivedReviewer checks sufficiency and proposed match

For example, a restaurant receipt may arrive with no explanation of the occasion, while a software purchase may be clearly explained but still lack the requested supplier record. These examples describe information gaps only; the appropriate treatment depends on the engagement and reviewer decision.

Keep partial progress visible

Acknowledge the part supplied and ask only for what remains. If the client has already uploaded a readable receipt, do not send another message that says no receipt received merely because the explanation is incomplete. Preserve the same query reference so the response history stays connected.

  • Link the evidence and explanation to the same transaction.
  • Record who checked each supplied item.
  • State the remaining question precisely.
  • Keep reviewer approval separate from client response.
  • Reopen only the axis affected by new information.

If a reviewer later rejects the proposed receipt match, the explanation may still be useful, but its relationship to the transaction should be reconsidered. Record the rejection reason and affected fields instead of resetting every state without explanation. This preserves valid progress while making uncertainty explicit.

Check whether the split improves handoff

Give a receiving reviewer a sample of open queries. They should be able to identify whether each needs a document, an answer or a decision without opening every message. If the states still require interpretation, refine the definitions with examples from actual work.

When evaluating software, test partial responses and rejected matches, since those cases reveal whether a single completion label is hiding unfinished work.
