Where the extra work starts
Check what the data needs before extracting it so the spreadsheet does not lose the context that makes the numbers meaningful.
For supplier reports and technical tables, start with ParseMill’s synthetic material-register example. Compare the source references and output with the register you need, then discuss a document pilot with an agreed scope and fee. The self-service trial covers invoice PDFs.
Identify whether the target is an actual table embedded in a drawing or annotations around the drawing. These are different tasks, even when both appear on the same PDF page.
A practical way to get it right
Inspect the region at readable magnification. Look for repeated headings and rows with consistent field roles. Then trace any arrows, leader lines, symbols or location-based associations. Record where a value's meaning depends on the drawing rather than on a table column.
Inventory genuine table regions separately from callouts. Define the row meaning for any table, such as one part reference per row. Preserve the diagram context and notes as linked evidence where they qualify the table. Do not infer dimensions or relationships from proximity alone.
Choose a reviewed manual mapping for diagram annotations unless a suitable, verified method supports that specific task. ParseMill's invoice workflow does not promise general interpretation of drawings or arbitrary visual relationships. A screenshot can illustrate the problem but does not make it native table data.
Adobe: Copy content from PDFs explains that Snapshot copies an area as an image. Use snapshots for illustration only, and verify native text separately for extraction.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Page region | Synthetic content | Review route |
|---|---|---|
| Parts table | Ref / Description / Quantity | Candidate table; inspect headers and rows |
| Callout A | Arrow points to 20 mm dimension | Diagram relationship; manual review |
| Callout B | Tolerance note beside feature | Preserve qualification |
| Legend | Symbol meanings | Context; not part rows |
The parts table may be suitable for a bounded table trial while the callouts remain outside it. Copy the region inventory and record the exact boundaries and source page. A complete result for the parts table should not be described as complete interpretation of the drawing.
Catch the cases that create rework
A rectangular box around a note does not make it a table. Conversely, a borderless parts list may still have consistent rows. Check the relationship model rather than appearance alone. If a table cell references a callout, retain that reference and the required diagram evidence.
Do not use an image snapshot as proof that selectable text exists. Test the actual text layer separately before attempting native extraction.
W3C: PDF table markup defines table structure through rows and cells. Apply that distinction when separating a parts table from spatial diagram annotations.
Decide whether the change is worth keeping
Ask a reviewer to explain each output field using its table heading or documented diagram relationship. If a value cannot be interpreted without the drawing, keep that dependency visible in the handoff. The accepted scope should say which region was transcribed and which visual content still requires specialist review, avoiding an unsupported claim of drawing automation.

Check the example against the work you need done
Compare the synthetic report, extracted rows and source references. For your own supplier reports, discuss the document type and review requirements before agreeing to a pilot.
