Reopen the affected decision
Make its effect visible before the reviewer works from an outdated set, and avoid rebuilding the whole handoff to explain one new file.
A complete client folder still leaves someone turning supplier invoices into spreadsheet rows. That is the step ParseMill handles: upload invoice PDFs, review extracted details and line items beside the source, then download Excel. Keep document requests and engagement tracking in your existing process.
Keep the accepted snapshot or manifest available. The useful comparison is between what the reviewer previously saw and what has now arrived. A mutable folder alone cannot explain that difference reliably.
Make a late-arrival record
Capture the new source reference, arrival time, apparent purpose, relationship to an existing requirement and the owner responsible for assessing impact. Record whether it adds missing information, corrects earlier evidence, duplicates an existing file or concerns a different period. When that relationship is uncertain, route the question instead of replacing the earlier source.
Microsoft: Workbook changes can show previous worksheet values in supported Excel versions. TaxDome: Link documents places linked documents on a TaxDome job card. Use available tools to make the change visible, but retain an explicit impact note: software activity history does not explain why a completed review should be repeated.
Apply a focused impact assessment
Synthetic example: Birch Engineering's September package was handed over on October 6. Three files arrive the next day.
| Arrival | Relationship | Proposed action | Recipient |
|---|---|---|---|
| U71 corrected settlement | Replaces figures in U64 | Hold affected review pending comparison | Preparer and reviewer |
| U72 same card statement | Possible duplicate of U62 | Compare identity; retain one working reference | Intake owner |
| U73 October invoice | Different period | Route to October intake | October package owner |
Only U71 presently threatens the September decision. U72 still needs a duplicate check, while U73 should not be forced into September merely because the message replied to that thread. Keep the original source and the late-arrival decision linked.
Notify with a concrete consequence
A useful handoff says what changed and what the recipient should do: “U71 appears to correct U64 in the September settlement review. Please pause that review step until we confirm the differences; other accepted documents are unchanged.” Avoid vague notifications such as “new file uploaded” when an active workpaper may be affected.
Record acknowledgement from the person taking the next action, or a clear escalation if they are absent. If the file is ultimately irrelevant or a duplicate, close the impact question with the reason. Do not leave an unnecessary hold in place because the initial classification was cautious.
Reconfirm readiness after the change
Once the reviewer has assessed the new evidence, update the manifest version and identify the checks repeated. Preserve the earlier completion date as history and record the new readiness decision separately. A package may be ready again without every unrelated item being rechecked.
Trial the procedure with an invented late correction before relying on it. A colleague should be able to find the original package, the new file, the impact decision and the current accepted version. the related workflow guide covers collection states; the workflow audit checklist can record how often late changes cause avoidable rework and whether notifications reach the right owner.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
