Treat an automatic reply as availability information
Use it to adjust the next action instead of sending reminders into an unattended inbox and mistaking silence for a stalled engagement.
Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.
Microsoft: Automatic replies describes scheduled automatic replies. Microsoft: Delivery notifications distinguishes delivery confirmation from evidence that a message was read. These facts support a simple boundary: receipt of an automated message is not proof that the recipient understood the request, agreed to the deadline or supplied the evidence.
Check the deadline and authority
Compare the stated absence with the work's agreed timing. If the request can wait, schedule a staff check after the return date. If it cannot, ask the engagement owner how to proceed. An alternative contact named in an absence message may be a route to ask for help, but do not assume that person is authorized to receive all client documents.
Record the request reference, absence interval, proposed contact route, authorization check and next action. Keep the original recipient and conversation linked so later staff can see why follow-up changed.
Use four different response paths
Synthetic example: four requests receive automatic replies. The cases below require different decisions.
| Situation | Interpretation | Next action |
|---|---|---|
| Return before agreed due date | No immediate timing conflict | Retain request; check for response before follow-up |
| Return after required review date | Potential dependency conflict | Escalate timing to engagement owner |
| Alternative contact named | Possible help route | Verify role and permitted information before sharing |
| No return date stated | Availability uncertain | Use an agreed contact route to clarify timing |
None of these outcomes marks the evidence received. The request remains tied to its actual document or answer requirement.
Write a focused follow-up
After the return date, acknowledge the context briefly: “Welcome back. We are checking whether the September settlement report requested in R42 is now available.” Before sending, inspect the latest portal uploads and replies. The client may have supplied the file during the absence, or a colleague may already have responded.
If using an alternative contact, send only the information necessary for the agreed purpose. Avoid forwarding an entire historical thread by default. Keep the original owner's responsibility clear and record any formal reassignment rather than allowing an informal copy to create two competing request owners.
Check that waiting does not become abandonment
An internal reminder should remain visible even when client messages are paused. If the stated return date passes without a substantive response, decide the next step from the actual work dependency. Do not infer refusal, illness or disinterest from an unchanged absence message.
Test the workflow with an auto-reply that arrives before a document is uploaded through another channel. The expected result is reconciliation before follow-up. the related workflow guide explains reminder stop rules; use the workflow audit checklist to separate client availability delays from staff time spent checking and rerouting the request.
