Move the response into the existing request record

Route the reply and update the task together so the team can use the answer before another reminder goes out.

Your request system handles the chase. When the reply contains supplier invoice PDFs that need to become an Excel schedule, try ParseMill for that next step: extract, review against the source and download a workbook. Reminder scheduling stays in your current tools.

The receiving colleague should preserve the original message context and identify the relevant request. If they cannot confidently identify it, assign clarification rather than forwarding it broadly and hoping someone recognizes the work.

Use a short internal handoff

Record the source message, received time, apparent client/entity, request reference and action needed. Link the evidence through the firm's approved system. TaxDome: Link documents can make linked documents visible on a job card. Microsoft: Review flagged messages helps find flagged email work. Use these mechanisms to surface the response, but keep one explicit owner for updating the authoritative request.

The handoff should state whether the colleague merely received the file or actually performed an acceptance check. “Client replied” and “evidence accepted” are different assertions and should not be interchangeable shorthand.

Walk through a misdirected response

Synthetic example: client Rowan sends the September reserve statement to Pat, while Jo owns request R94.

StepResponsible personRecorded outcome

Identify requirementPatLikely R94; entity and period checked for routing
Update authoritative requestJoEvidence received, acceptance review assigned
Inspect sourceDesignated reviewerAccepted or specific correction required
Reconcile follow-upJoRemove R94 from current missing-document message if appropriate

If Jo is absent, the coverage owner should accept the handoff. A forward without acknowledgement does not establish that anyone updated the request.

Prevent a second conversation from forming

Reply to the client through the agreed communication route and make clear who owns the next action. Avoid parallel messages from Pat and Jo asking different questions about the same attachment. Preserve the original response reference so a later reviewer can see what the client actually supplied.

If the reply contains unrelated requests, separate those actions rather than burying them under the document task. If the recipient was not authorized to access the material, follow the firm's existing incident and handling process; do not redistribute the file further simply to finish the workflow.

Verify reminder accuracy after the handoff

Before the next client contact, inspect the latest request state and evidence. Check that the misdirected reply is linked, that acceptance has a named owner and that the old missing-item wording is no longer scheduled where inappropriate. Keep any unresolved question specific to what remains.

Test with a harmless sample reply delivered to a covering colleague. Another handler should find the response from the request record without searching personal inboxes. the related workflow guide gives the wider chasing method, while the workflow audit checklist can record duplicate contacts caused by delayed internal routing.
