Hand over the exceptions with the package
Show the outstanding items and their impact so starting work becomes an informed decision.
If supplier invoice PDFs need to become a business-expense workbook, test that step in ParseMill. It extracts invoice fields and line items for your review and Excel export. For tax forms, package completeness and preparer handoffs, bring one recurring bottleneck to a scoped workflow review.
The purpose is to help the practitioner decide what can proceed. Intake staff should not make undocumented assumptions about missing information, tax treatment or filing readiness. A controlled incomplete handoff is a visible state with conditions, rather than a complete package with a few hidden gaps.
Describe readiness by work area
Start with the agreed package manifest. For each unresolved item, state the source expected, current information, next action and work that may depend on it. Ask the preparer to confirm whether that work is blocked or can proceed under an explicit decision. Record the decision separately from the intake owner's proposal.
TaxDome: Link documents describes linking documents to jobs. TaxDome: Request list distinguishes request progress states. Those links and states help locate information, but a completed request is not itself a readiness judgment. Keep the cover sheet's practitioner decision visible even if the request system uses simpler labels.
Build a cover sheet with separate states
The following synthetic example uses three work areas. It deliberately avoids a single percentage because each gap has a different consequence for the preparer's next action.
| Work area | Evidence position | Handoff condition |
|---|---|---|
| Area A | Agreed inputs received and indexed | Preparer may review evidence |
| Area B | Supporting schedule requested | Practitioner decides whether work can start |
| Area C | Conflicting client answers | Blocked pending clarification decision |
The preparer signs off the handoff conditions, not an assertion that all evidence is sufficient. Include a dated manifest reference so later arrivals can be distinguished from the materials available at this point. If the package changes, append a change note and notify the affected owner.
Keep assumptions out of empty cells
An empty cell can mean not applicable, not checked, not received or not decided. Replace ambiguity with an explicit state and an owner. If a practitioner agrees to a particular working assumption, record its wording, scope and any condition for revisiting it. Do not have intake staff invent assumptions to make the cover sheet appear finished.
- List each outstanding item by a stable reference.
- Distinguish missing evidence from conflicting information.
- Identify the task affected by the gap.
- Record the preparer's decision and any limit.
- Set the next check date for unresolved dependencies.
If an issue blocks the entire engagement, the cover sheet should say so. Sending a folder link without that warning can create the impression that staff are merely waiting on an optional attachment. Equally, avoid marking every minor open question as a complete-work blocker without practitioner review.
Confirm the preparer received the conditions
At handoff, ask the receiving person to identify the open blockers and next-action owners from the cover sheet. Resolve any disagreement about readiness before relying on the transfer. Retain the acknowledgment with the package reference so the next staff member can reconstruct what was agreed.
Use the related workflow guide for the full intake process and the workflow audit checklist to examine whether incomplete handoffs are causing rework. Measure whether exceptions remain visible after transfer, rather than counting the number of folders successfully sent to a preparer.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
