Preserve the difference before explaining it

Record the difference and the missing explanation so the next question is precise.

If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.

The receipt may belong to another transaction, show only part of a purchase or reflect a changed order. A useful triage record keeps these possibilities as questions until the authorized reviewer confirms the relationship. The goal is to make the difference understandable without inventing a balancing entry.

Build an observation-first comparison

Capture transaction reference, source receipt, original amounts, currencies, purchase and posting dates, merchant labels and any explicit adjustment lines. Keep proposed explanations in a separate field. If the receipt image is incomplete, request the missing context before relying on its visible total.

Intuit: Matching bank transactions explains that bank matching connects existing records. Intuit: Receipt review describes reviewing uploaded evidence. Neither makes a plausible amount difference self-explanatory. The proposed worksheet prepares the information for a reviewer, who decides whether the sources relate and what treatment is appropriate.

Work through a simple same-currency mismatch

In this fictional case, a receipt total and bank amount differ by EUR 3.00. The arithmetic is straightforward; the explanation remains unresolved.

ObservationValue
Receipt E34EUR 47.00
Bank transaction B73EUR 50.00
DifferenceEUR 3.00
Visible adjustment on receiptNone observed
Next questionConfirm whether another charge or a different receipt explains the difference

The record should not say fee EUR 3.00 unless evidence and reviewer judgment support that conclusion. If the client supplies a second receipt or clarifies that B73 belongs to another purchase, update the relationship. Preserve the initial comparison so the resolution can be understood later.

Use different checks for different units

If one source shows USD and the other EUR, do not subtract them directly. Preserve both original values and ask for the relevant conversion or payment evidence under the firm's process. If the dates differ, distinguish a posting delay from a different purchase through context rather than assuming either explanation.

  • Confirm that both sources concern the same purchase.
  • Compare amounts only with their currencies attached.
  • Check whether a receipt is partial, amended or refunded.
  • Record visible fees or adjustments without guessing missing ones.
  • Assign the unresolved difference to the authorized reviewer.

A small numerical difference is not permission to ignore the issue, and a large one does not prove wrongdoing. Use the engagement's actual review rules rather than inventing a universal threshold. If a match was already accepted, identify the affected work and follow the approved correction process.

Retain the resolution evidence

Close the difference question only when the reviewer has recorded the relationship and the source of the explanation, or another authorized outcome. Keep any remaining evidence request open with its own owner. A note saying balanced is insufficient if nobody can tell what justified the adjustment.

Use the related workflow guide for the broader receipt workflow and the workflow audit checklist to assess repeated amount mismatches. A practical test set should include a real same-currency difference, unlike currencies and an unrelated receipt, so a workflow cannot succeed merely by making totals agree.
