Describe the usable scope before sharing

State which pages and fields are missing before sharing it so the recipient can judge what work the result actually supports.

For multipage invoices, use ParseMill to review extracted invoice data beside the source and export separate summary and line-item sheets. Include a page break in your trial and check that every required line made it through. Other report types need their own fit assessment.

Avoid a single status such as “partial” without detail. A missing appendix, an unreadable results page and an unresolved row association have different implications for the recipient. Use separate categories and identify the affected ranges.

Copy this synthetic coverage statement

CategoryRecorded scopeAction
ProcessedPhysical pages 2–4; 24 reviewed recordsAvailable for stated register task
Intentionally excludedPage 1 cover; page 7 reference appendixRetained as source context
UnreadablePage 5 scan; record count unknownRequest clearer source
UnresolvedPage 6 rows S31–S33; unit association unclearHold affected fields
AbsentAttachment B named in contentsRequest attachment or clarification

These invented counts describe only the fixture. Do not turn “record count unknown” into zero missing records. Likewise, an excluded appendix is not the same as an absent attachment: the former was received and inspected, while the latter was not available.

Adobe: Renumber pages in PDFs distinguishes page numbering concerns. Include physical positions and printed labels where they differ so the recipient can locate each limitation.

Prepare the handoff

  1. Identify the exact source and export versions. Record the extraction date and the review scope separately from the document’s own issue date.
  2. List reviewed rows and unresolved fields using stable identifiers. Keep unresolved values explicit rather than substituting plausible values or silently dropping records.
  3. Attach the coverage statement and any evidence needed to reproduce the exclusions. Name a person or role responsible for each outstanding clarification.
  4. State the intended use supported by the reviewed portion and the decision that must wait for the missing evidence. Agree how an updated export will replace this one.

W3C: PROV Data Model distinguishes source entities, activities and responsible agents. That separation is useful when recording who prepared an incomplete export and which source version it represents.

Prevent accidental completeness claims

Do not label a workbook “final” merely because the current extraction run finished. If a downstream system requires every expected record, hold that import until the gap is resolved or the system owner approves an explicit exception. Document the actual decision rather than assuming recipients will infer it from blanks.

Check filters, hidden sheets and summary totals before sharing. A prominent total of twenty-four rows can look like a complete population unless the coverage statement explains that the unreadable page’s population is unknown.

Test the recipient’s understanding

Ask a reviewer to identify the unreadable range, the intentionally excluded material and the fields still on hold using only the package. For this fixture, they should not conclude that twenty-four represents all expected observations. Update the statement whenever a clearer source or missing attachment changes coverage.

In an invoice trial, keep unreadable pages and unresolved fields in the comparison with your current process. Decide whether the resulting workbook and visible exceptions help you finish the job. Use the report coverage statement above as a separate handoff method, not a promise of automatic report-completeness checking.
