Identify the stage the document actually records

Check what the file proves so the team does not discover the missing evidence at review.

If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.

An online purchase can generate several similar messages. Their titles are clues, but their content matters more. Read whether the message confirms order placement, payment capture, shipment, cancellation or a final transaction record, and record the actual wording where the stage is unclear.

Keep order identity separate from document stage

Use an order reference to connect the messages, with separate artifact references and stage labels. Record observed amounts, currencies, dates and item changes. A later document may supplement the order confirmation rather than simply replace it. Keep the original context so a reviewer can understand why the final amount differs.

Microsoft: Inline images and attachments distinguishes email-body images from attachments. Intuit: Email receipt images describes forwarding receipt images for review. These delivery mechanics do not establish the stage of the underlying purchase. The proposed stage map requires a person to inspect what each source actually says before treating it as final evidence.

Follow a changed order

The following fictional sequence shows why the first confirmation can be insufficient for a later transaction query. The amounts are illustrative and should not be interpreted as a posting instruction.

StageObserved recordQuestion
Order placedConfirmation: EUR 150.00Were all items fulfilled?
Order changedOne item cancelledWhat amount remained chargeable?
Payment chargedMessage: EUR 110.00Does it connect to the bank transaction?
Final recordItemized supplier documentReviewer checks completeness and relationship

The original EUR 150.00 confirmation remains useful context, but it should not be forced to match a EUR 110.00 bank payment. Link the cancellation and final record so the difference has an evidence trail instead of an unexplained adjustment.

Ask for the missing stage precisely

If only the order confirmation is available, request the final supplier record or other specific evidence needed under the firm's process. Explain the gap: the supplied email shows the order before a cancellation, and the reviewer needs the resulting purchase details. Avoid asking for the same confirmation again using a different label.

  • Record the order reference across messages.
  • Label each document's observed stage.
  • Preserve cancellations and quantity changes.
  • Compare final amounts and currency with payment evidence.
  • Escalate unclear or unavailable final records to the reviewer.

Do not infer that shipment proves payment or that an authorization notice proves the final charged amount. Equally, do not discard an order confirmation that explains a later change. The goal is a complete relationship map, not a rule that only one document type is ever useful.

Check the final evidence chain

Ask a colleague to explain the difference between the original order and the observed payment using the linked records. They should identify any missing stage without relying on assumptions about how the merchant normally operates. If the sequence remains uncertain, retain an open question with an owner.
