Where the extra work starts

Resolve that ambiguity before filling the gap so the workbook does not acquire a value the source never supported.

ParseMill processes native invoice PDFs and clear printed English PDF scans. Try a typical supplier invoice and a difficult one. Check the extracted fields, correct exceptions and open the workbook before committing to a monthly plan.

This is a visible-source review, not a promise that the workflow interprets hidden PDF content. When the evidence remains unclear, preserve an unresolved state and seek an authoritative readable source.

A practical way to get it right

Locate the exact row and column and inspect at readable magnification. Compare nearby cells, heading scope and page boundaries. Check whether the value may be displaced, printed in a faint color or covered by an annotation. Keep any original and prepared versions distinct.

Try a permitted text selection in the target region and compare the result with what is visible. If text appears that cannot be explained from the rendered source, record it as an inconsistency requiring review. Do not promote hidden or unexpected text to accepted data merely because a parser returned it.

Where source preparation or redaction is involved, ask the authorized owner to confirm the intended visible content. Preserve the raw extraction and the visible-source observation separately. Choose missing, unreadable or inconsistent states based on evidence rather than using one generic blank label.

Adobe: Copy content from PDFs describes text selection and copying and how to check document restrictions. Compare selectable content with the rendered source rather than assuming either view alone explains a disputed blank.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

ObservationSynthetic candidateState
Cell visibly empty; no text foundEmptyMissing in visible source
Faint characters cannot be resolved18.5?Unreadable; request clearer source
Blank-looking cell yields 24.0024.00Visible/text inconsistency; hold
Value clipped at page edgePartial stringSource-view issue; inspect original bounds

The candidate 24.00 is not accepted automatically. Copy the observation, candidate and state columns and add the source version and location. The example does not assert that every blank-looking cell contains hidden data; it shows how to keep different diagnostic outcomes separate when evidence conflicts.

Catch the cases that create rework

Drawing a white box or changing the crop can hide content without establishing that it was removed. Do not use an altered display as the sole basis for a missing-value conclusion. Conversely, an extraction artifact can invent or misassociate text, so a nonempty candidate is not proof that a hidden source value exists.

Avoid modifying the original simply to investigate. Work from an authorized copy and retain a traceable source relationship.

Adobe: About redacting and sanitizing PDFs distinguishes visible redaction from hidden-data sanitization. A document’s visible appearance alone does not establish what non-visible information remains.

Decide whether the change is worth keeping

Accept a raw value only when its source relationship is supported and the review question is resolved. Leave uncertain cells visible in the exception record and assign the next action. After any new source arrives, repeat the check and record what changed. The useful outcome is a trustworthy distinction among missing, unreadable and inconsistent evidence.
