Agree what complete means for this package
Agree what is needed before work starts, then use that definition to decide which jobs are ready.
A complete client folder still leaves someone turning supplier invoices into spreadsheet rows. That is the step ParseMill handles: upload invoice PDFs, review extracted details and line items beside the source, then download Excel. Keep document requests and engagement tracking in your existing process.
The definition is an operating agreement, not a universal bookkeeping checklist. It should name required items, acceptance checks, permitted exceptions and who may approve a change. Keep the professional sufficiency decision with the authorized reviewer rather than treating a spreadsheet formula as the final authority.
Build a readiness rule people can apply
List each required item and the observable condition for acceptance. Add a separate rule for package handoff: for example, all required evidence accepted, or a reviewer-approved exception list attached. Distinguish a permitted incomplete handoff from a fully complete package so downstream staff know what remains uncertain.
For US firms, TaxDome: Document checklists allows checklist edits after sending. Microsoft: Data validation supports restricted worksheet values. These controls can record the agreement, but neither defines your firm's threshold. Use explicit state names and retain the effective version whenever the required package changes during collection.
Compare two possible handoff thresholds
Synthetic example: Pine Workshop's September scope requires operating and card statements plus answers to transaction questions. The team agrees the following rule before requesting evidence.
| Requirement | Acceptance condition | Who decides |
|---|---|---|
| Operating statement | Correct account and full agreed period | Intake reviewer |
| Card statement | Correct account and complete source pages | Intake reviewer |
| Transaction questions | Required explanations reviewed or listed as approved exceptions | Bookkeeping reviewer |
| Package handoff | All above resolved, or specific incomplete-handoff approval recorded | Engagement owner |
Suppose both statements pass, but one purchase question remains unanswered. The package is not silently “complete.” It is either held or handed over with the named unresolved question under the agreed exception rule. The choice must be visible to the person receiving it.
Control changes without moving the goalposts silently
A new account, revised service scope or unexpected transaction can introduce another requirement. Record the change, its reason, effective period and approving owner. Tell the client what has changed and why the new request is relevant. Do not make a newly added item appear overdue under an earlier instruction that never included it.
Similarly, withdrawing an item needs a reason. A checkbox removed from a live list leaves no explanation for the preparer. Retain the withdrawal decision and any replacement requirement so the accepted package can be reconstructed later.
Test the definition with awkward submissions
Walk through a complete package, a wrong-period file, a partial reply and an approved exception. Ask two staff members to classify each case independently using the written rule. Differences reveal ambiguity in the rule or in the evidence needed to apply it.
Revise the definition until the next action is clear, then retain that version for the real cycle. the related workflow guide shows the wider collection flow. the workflow audit checklist can help record review returns caused by unclear readiness, separating those failures from delays caused by genuinely missing client evidence.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
Eligible new workspaces: 10 pages for 7 days after email verification. No card or automatic subscription.
Invoice processing: $49 USD/month · 500 PDF pages · one user. Buy only after you have checked the fit on your own invoices.
