Put a check between arrival and closure

If the file is wrong or unreadable, the work has only moved to the reviewer. Check it before closing the query so completion means something useful.

If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.

This small state change prevents a common handoff gap: the client believes the task is done, the request disappears, and the reviewer later discovers the wrong file. The solution is to acknowledge receipt promptly while making acceptance a distinct action with an owner.

Define the acceptance condition in advance

For each query, state what is needed to resolve it. That might be a readable purchase record for a specified transaction plus a context answer, or a reviewer decision about unavailable evidence. Avoid defining success as at least one attachment, because unrelated files can satisfy that mechanical condition.

Intuit: Receipt review describes reviewing uploaded receipt information. Intuit: Email receipt images describes bringing emailed receipt images into that review flow. The proposed query states make the same distinction visible in your collection register, even if the messaging system itself has only pending and completed labels.

Walk through three arrivals

The fictional examples below all generate a successful arrival notification. Only a subsequent check determines the right next action.

ArrivalCheck resultQuery action
E92Readable; intended transaction confirmed; required context suppliedSend to authorized acceptance step
E93Similar merchant but wrong period or transactionExplain mismatch; keep query open
E94Total obscured and lower section missingRequest focused replacement

Acknowledge the effort in each case without falsely confirming completeness. For E93, identify the transaction still needing evidence. For E94, name the unreadable area. This gives the client a specific next step and avoids a generic reminder that suggests no file was received.

Keep review ownership visible

Assign someone to inspect new arrivals and record the result. If the reviewer must make a professional sufficiency decision, the collection owner should move the query to that internal stage rather than repeatedly chasing the client. A queue of received files can otherwise become invisible waiting work.

  • Link the arrival to the original query reference.
  • Verify the file opens through the approved process.
  • Compare transaction identity and required content.
  • Separate readability from evidence sufficiency.
  • Record the person and basis for closure.

If a file satisfies only part of the request, retain the remaining question explicitly. If the reviewer later rejects an accepted match, reopen the specific unresolved issue with the rejection reason. Do not erase the original arrival or pretend the client never responded.

Test the closure control with deliberate failures

Use a synthetic wrong-transaction receipt and an unreadable image in a workflow test. Both should remain unresolved after arrival, with clear next actions. A valid example should progress to the correct review stage. This tests behavior more meaningfully than checking whether a notification email was sent.

Use the related workflow guide for the complete receipt process and the workflow audit checklist to inspect false completion at handoffs. The useful measure is whether closed queries have a recorded acceptance basis, not merely whether the system received a file successfully.

Put it to work with ParseMill

Is invoice preparation the next bottleneck?

If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.

Eligible new workspaces: 10 pages for 7 days after email verification. No card or automatic subscription.

Invoice processing: $49 USD/month · 500 PDF pages · one user. Buy only after you have checked the fit on your own invoices.

If collection, ownership or handoffs are the bigger problem, discuss this workflow with us. We agree the scope and any fee before starting a review.
