Compare the evidence before creating a second expense
Compare the actual purchase evidence before merging the submissions so a duplicate upload does not become duplicate work.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
Two deliveries can be the same evidence without being identical files. A photograph and a PDF export may show the same receipt. Equally, two purchases from the same merchant can have identical amounts. The comparison needs source identity and context, not only a duplicate-looking filename or total.
Keep arrival identity separate from purchase identity
Assign an artifact reference to each supplied copy and a shared evidence-family reference when the relationship is confirmed. Record the arrival channel, time and relevant message. Keep the accounting decision with the authorized reviewer; identifying duplicate evidence does not by itself authorize deleting an existing financial record.
Intuit: Email receipt images describes forwarding receipt images for review. Microsoft: Save an Outlook message describes saving received messages. These mechanics explain how the same purchase evidence can reach a team more than once. The proposed duplicate card preserves the channel history while preventing repeated arrivals from being mistaken for new purchases.
Use a comparison card with a rejection branch
The following fictional cases illustrate why the review must consider more than amount. A duplicate decision should state what was checked and what remains uncertain.
| Candidate pair | Observation | Proposed outcome |
|---|---|---|
| E64 and E69 | Same receipt number, content and currency | Same evidence; link arrivals |
| E71 and E72 | Same merchant and total, different dates | Distinct purchases possible; review |
| E73 and E74 | Same receipt reference, changed total | Possible correction; version review |
For the first pair, retain both arrival records but keep one evidence-review task. For the other pairs, do not consolidate until the relationship is resolved. A changed total can indicate a correction, incomplete image or another issue that deserves a separate question.
Reconcile the work already created
Check whether either arrival generated a new query, draft expense or follow-up message. Identify the surviving work reference and ask the authorized owner to handle any financial-record correction through the proper process. Retain a link from the redundant task so staff can understand where the work went.
- Compare receipt identity and content, not only amount.
- Preserve email or upload provenance.
- Distinguish duplicate evidence from corrected evidence.
- Keep one owner for the surviving review task.
- Stop redundant reminders after the relationship is confirmed.
Do not delete a source merely to make a duplicate count disappear. If the organization's retention process calls for removing redundant copies, preserve the relevant provenance and decision in the surviving record. A cleaner image may be selected for review without losing the history of how it arrived.
Check whether consolidation remains traceable
From either arrival, a colleague should find the same surviving evidence review and its decision. From the transaction query, they should see which source is selected and why. If the trail stops at a deleted task, improve the cross-reference before scaling the process.
Use the related workflow guide for the broader receipt workflow and the workflow audit checklist to investigate repeated work from multiple channels. Test with both a true duplicate and two genuine same-amount purchases so the workflow cannot pass by relying on amount alone.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
