Open the download before accepting it

Catching that when it arrives is a quick correction; discovering it at close means restarting a client chase under deadline pressure.

A complete client folder still leaves someone turning supplier invoices into spreadsheet rows. That is the step ParseMill handles: upload invoice PDFs, review extracted details and line items beside the source, then download Excel. Keep document requests and engagement tracking in your existing process.

Keep the failed file reference long enough to explain the problem, following the firm's normal handling policy. It can help distinguish a failed download from a missing document, but it should not satisfy the statement requirement merely because an upload completed.

Check observable content

Open the file using an approved viewer. Look for recognizable statement content, page continuity and readable text or images. Check whether all pages are blank or whether a useful first page is followed by an error. Record the observed issue plainly, such as “page one contains a session-expired message,” rather than diagnosing a bank system failure you have not verified.

TaxDome: Document actions describes document preview and download options. TaxDome: Upload documents distinguishes selecting files from finishing an upload. Those are separate stages: a successful transfer can deliver the wrong contents. Verify the artifact that arrived rather than relying on a success message elsewhere in the process.

Classify the failed artifact

Synthetic example: Hazel Works sends three files through its approved portal. These are invented test cases for staff training.

FileObserved contentIntake decisionSpecific follow-up
U91 September.pdfSign-in screen onlyWrong contentRequest a fresh statement export after authorized sign-in
U92 reserve.pdfFour entirely blank pagesUnreadable evidenceAsk the client to open the saved copy before resending
U93 operating.pdfStatement pages readableContinue normal checksVerify account, dates and completeness

U91 and U92 are not accepted statement files. The intake owner should retain their references in the request history and describe the failure, while avoiding unnecessary copies of browser session details or sensitive portal information.

Give a safe, practical re-download request

Ask the client to obtain a fresh file through their normal authorized bank access and inspect the saved copy before uploading it. Do not ask for bank credentials, a remote-control session or an unrestricted account-access link. The request can say: “The uploaded file opens to a sign-in message rather than statement pages. Please download the statement again, open the saved file to confirm its contents, and upload it against request R9.”

If the bank provides several export formats, the reviewer should specify which available format satisfies the work. Do not promise that changing the extension converts an error page into a PDF or that printing an incomplete view creates missing pages.

Verify the replacement and learn from the cause

Link the replacement to the failed upload and repeat the content preflight. Then perform the ordinary statement acceptance checks; fixing the download does not establish the correct account or period. Close the correction request only when the replacement meets the agreed requirement.

A useful trial includes a valid statement, a blank PDF and a saved error screen. Staff should classify all three consistently without needing to access a real bank account. the related workflow guide explains how the accepted file returns to the collection register. Record repeat download failures in the workflow audit checklist if clearer client instructions could remove recurring rework.
