Where the extra work starts
Choose one active task and keep both recipients informed so coverage does not turn into duplicated work.
Once someone owns the email, the invoice PDF may still need to be keyed into Excel. Download the attachment through your approved process, then use ParseMill to extract, review and export it. Shared-inbox routing and replies remain with your existing email tools.
Start by checking that the two copies concern the same message and requested outcome. Similar subjects alone do not establish duplication; a later message may contain additional instructions.
A practical way to get it right
Compare sender, sent time, recipients and the substantive request. Check for any response already sent from either location. Agree one action owner and one intended sending address before drafting. Record the chosen action reference where the covering team can see it.
In the secondary queue, mark the item as represented by that action and preserve a source link. Do not mark the underlying work complete merely because its duplicate representation is closed. If the personal-mailbox owner cannot share the whole message, provide the minimum necessary context using the firm's approved access arrangements.
Define the handover rule for absence. A response from the personal address should still be linked to the shared action if the team is responsible for follow-through. When another colleague takes over, they need the latest commitment and outstanding question, not just the original incoming message.
Microsoft: Open and use a shared mailbox describes using the From field for shared-mailbox replies. Confirm that field against the agreed response location before sending.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Location | Record | Disposition |
|---|---|---|
| Personal inbox | M91-P | Cross-reference action A91 |
| Shared inbox | M91-S | Primary action A91 owned by Eli |
| Sent response | R91 | Link to A91; next check Wednesday |
There are two received copies but one action in this example. The personal copy is closed as a duplicate representation, while A91 stays open until the requested outcome is delivered. Copy the location, record and disposition columns when reconciling a real collision. If one copy includes a newer attachment, retain that evidence in the primary action before closing its secondary representation.
Catch the cases that create rework
If both locations already contain work, compare progress before merging references. Preserve useful notes and identify which commitments need reconciliation. Do not silently discard a second owner's draft if it contains a decision the primary owner has not seen.
If nobody accepts ownership, keep a visible unassigned action with a triage owner. Sending a message to a group is not the same as obtaining acceptance from a person. Avoid relying on mailbox access as evidence of responsibility.
Microsoft: Share and access another person’s mailbox distinguishes mailbox access permissions. A personal-mailbox copy may require an approved handoff of relevant context rather than unrestricted access.
Decide whether the change is worth keeping
Check that a covering colleague can find the action from either original location and see the latest reply. Count the action once in workload reports, while retaining both message references as evidence. The test succeeds when staff can explain who responds, where the work is tracked and what would happen if that person were unavailable tomorrow.
The workflow audit checklist can help record the observed friction before considering a change.
