Give the client a recognizable transaction
Include enough transaction context to make one useful reply possible and reduce the back-and-forth.
If your evidence is a supplier invoice PDF, ParseMill can turn its invoice details and line items into a reviewable Excel workbook. Compare the source and correct the result before export. Receipt photos, missing-document requests and transaction matching belong in your existing receipt and accounting tools.
Use the minimum context needed for the authorized recipient to identify the item. Do not include full card numbers or unrelated purchases. If ownership is uncertain, resolve the routing question before sending a wider transaction list to someone who may not be responsible for it.
Separate identification from the question
Start with a stable query reference and the observed transaction details. Preserve the bank descriptor as shown rather than replacing it with a guessed merchant name. Then state the action requested: provide the receipt, explain the purchase context, or confirm that the item is unrecognized. These are different questions and may have different answers.
Intuit: Transaction requests describes collecting transaction explanations and receipts. Microsoft: Writing email supports clear email composition. The proposed message structure uses those mechanics to reduce ambiguity, while leaving evidence acceptance and accounting treatment with the authorized reviewer. A well-phrased request does not make an uncertain transaction automatically correct.
Copy a focused request structure
This fictional example gives enough detail to identify one purchase without exposing the rest of the statement. Adapt the delivery channel and wording to the firm's approved process.
| Field | Example |
|---|---|
| Query | R84 |
| Observed transaction | 14 October, OAK SUPPLIES ONLINE, EUR 86.40 |
| Account context | Company card ending 1234 |
| Request | Please provide the purchase receipt and describe what the purchase related to |
| If unavailable | Tell us whether the receipt cannot be obtained or the transaction is unrecognized |
The date should be labeled if it is a posting date rather than the purchase date. The client may remember buying the item a day earlier. Acknowledging that distinction avoids suggesting the client must find a receipt with an identical date before replying.
Check the response against both questions
When the client responds, link the file and explanation to R84. Check the apparent merchant, amount, currency and surrounding context before proposing a match. If the receipt arrives but the purpose remains unclear, close only the evidence-collection part that has actually been satisfied and retain the explanation question.
- Verify the recipient's responsibility for the transaction.
- Include a stable reference for replies.
- Keep descriptor and inferred merchant separate.
- State exactly which evidence or explanation is requested.
- Provide an explicit route for unavailable or unrecognized items.
Avoid leading questions such as this was office supplies, correct? when the purpose is unknown. A neutral question produces a more useful record. If the client challenges the transaction, route it through the organization's appropriate review process instead of continuing to demand a receipt.
Test the request before sending a large list
Ask a colleague unfamiliar with the query to identify the transaction and the requested action from the message alone. If they need the whole statement, determine which missing detail would resolve the ambiguity. Keep the message concise while preserving the information needed to answer.
Use the related workflow guide for the broader missing-receipt workflow and the workflow audit checklist to inspect where requests become confusing. A small test set can show whether better context reduces clarification loops without assuming any particular response-rate improvement.
Put it to work with ParseMill
Is invoice preparation the next bottleneck?
If supplier invoice PDFs still need to be keyed into Excel, test that step in ParseMill. Upload a representative invoice, check and correct the fields beside the source, then download the workbook. Compare the complete job with your manual method.
