Approval needs a boundary

State the scope and unresolved items so approval does not imply more certainty than the review earned.

In ParseMill, select an extracted invoice field to inspect its source, correct the value and export the reviewed workbook. Try your own invoices as well as the interactive sample. Compare upload, checking and correction time with your current way of building the same spreadsheet.

Separate transcription review from technical acceptance of the underlying results. Confirming that a value matches a supplier report does not establish that the material is suitable or that a reported conclusion is correct.

Copy a scoped signoff record

FieldSynthetic signoff
SourceReport R14 revision 2; recorded file hash
OutputRegister export v4
Checked scopePhysical pages 2–5; rows S01–S24; ID, result, unit, source reference
MethodEvery listed field compared with source
ExceptionsS18 unit unresolved; excluded from numeric analysis
Intended useInternal evidence register; no material approval
Reviewer and dateNamed reviewer; actual review date

This fixture is a form to complete, not an approval of a real dataset. Replace the illustrative entries with actual identities and keep the exception linked to the affected field. If the scope was sampled, state the selected records and selection method instead of using the full-review wording.

W3C: Data on the Web Best Practices recommends version indicators and history. A signoff should attach to one identifiable output revision rather than a mutable filename.

Prepare the signoff from review evidence

  1. Confirm source and output versions after all accepted corrections. Reopen the final export and verify that it matches the reviewed revision.
  2. List pages, records and fields actually checked, including the review method. State omitted sections and unchecked scope explicitly.
  3. Summarize unresolved exceptions with owners or next actions. Identify which uses remain blocked and which limited uses are supported.
  4. Record the reviewer and actual date, then retain the signoff with the evidence and change history. Require a new decision when relevant source or output content changes.

UK Government: Data Quality Framework makes intended use central to quality assessment. Use that principle to avoid an approval broader than the checks performed.

Avoid accidental transfer of approval

A later workbook cleanup, source revision or merged export may invalidate part of the signoff. Keep a clear relationship between revisions and recheck the affected scope. Do not copy a reviewed label into a new file merely because it was derived from an approved one.

If another person needs a different use, such as an automated import or engineering decision, let them assess whether the existing review covers the necessary fields and risks. The original signoff should remain accurate about its own purpose.

Check that the statement stands alone

For the fixture, a recipient should understand that S18’s unit is unresolved and that material approval is outside scope. They should also be able to identify the exact twenty-four rows and four fields reviewed. If those details are missing, the signoff is not yet complete.

Use scoped signoff when moving ParseMill output into a shared workflow. It connects the extraction, human review and intended use in a form that another team member can verify.
