Where the extra work starts
Track what the team does with it so the decision to keep a tool is tied to extra capacity you can see.
Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.
Keep three records distinct: the measured reduction, the planned reuse and what actually happened. The first is evidence about the process; the other two describe management decisions and observed outcomes.
A practical way to get it right
Establish the effort difference using comparable completed cases and the same review standard. Record the period and eligible volume. Deduct ongoing maintenance where relevant and disclose setup separately. Do not use a theoretical software processing speed as a substitute for measured staff effort.
Agree a concrete reuse with the team lead, such as clearing a named backlog or adding a specific quality check. Identify the receiving owner, usable time block and expected output. Record actual activity and completion evidence without requiring staff to account for every spare second.
At the end of the period, compare planned and actual reuse. Explain unallocated capacity, blocked work or scheduling friction. A smaller useful outcome is better evidence than a large assumed benefit inferred from multiplying saved minutes by an hourly rate.
Microsoft: Calculate the difference between two times provides interval calculations for the observed handling comparison. Keep the task boundary constant before treating the difference as released effort.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Follow-through measure | Synthetic week |
|---|---|
| Measured net handling reduction | 4 hours across comparable cases |
| Planned reuse | 3 hours backlog review; 1 hour guide update |
| Actual reuse | 2.5 hours backlog review; 0.5 hour guide update |
| Unallocated or blocked | 1 hour; reviewer unavailable |
The example supports four hours released and three hours visibly redeployed. The remaining hour is not a failure to be hidden; it identifies a dependency that may limit future benefit. Copy the table and add the actual work references and outcome checks. Do not count the same backlog work again as a second independent time saving.
Catch the cases that create rework
If released minutes arrive as many short gaps, a task requiring a continuous hour may not be a realistic reuse. Choose work that fits the available pattern or adjust scheduling deliberately. If the receiving task is blocked by a reviewer, extra preparation capacity alone will not finish it.
If staff absorb previously unrecorded essential work, improve the baseline description rather than claiming that the time vanished.
Microsoft: Create and format tables supports a headed follow-through register. Link planned reuse to actual work references so the benefit is inspectable rather than inferred.
Decide whether the change is worth keeping
Review the completed outputs and the reason for any gap between projected and actual reuse. Update the next period's plan using that evidence. Keep expenditure changes separate; useful redeployment does not automatically reduce costs. The capacity calculator can explore potential hours, while this follow-through record establishes whether those hours became a practical improvement.
The workflow audit checklist can help record the observed friction before considering a change.
