Keep a parent exception open until every component is addressed

Split out the contributing gaps so fixing one does not accidentally hide the others or leave the remaining work without an owner.

When an exception needs a supplier invoice schedule, ParseMill can extract the invoice PDFs into Excel and keep source references available for checking. That gives the reviewer a concrete starting point. Bank reconciliation, accounting judgments and posting stay in your accounting system.

A component can be a confirmed source difference, a candidate explanation or a separate evidence gap. Label those states distinctly. The authorized reviewer decides which components are accepted and what corrections, if any, are appropriate. A worksheet decomposition is an investigation tool, not authority to post adjustments.

Define the component relationship

Record parent case ID, original observed difference, component ID, source evidence, proposed contribution, review state and next action. Keep currencies and sign conventions explicit. If a component has no defensible amount yet, describe the unresolved relationship rather than inventing a number to fill the schedule.

Intuit: Bank deposits describes combining payment records. Intuit: Audit log describes recorded changes. In a relevant investigation, these records can help identify separate causes or verify implemented actions. The proposed parent-and-component model keeps that work connected without allowing one successful action to obscure the remaining issue.

Follow a fictional multi-cause difference

The example starts with a EUR 40.00 observed difference. Evidence supports one EUR 15.00 component, while another candidate remains under review and a residual is still unexplained.

ComponentAmount contributionState
C1EUR 15.00Evidence reviewed; action condition recorded
C2EUR 10.00Candidate explanation; not accepted
Unexplained remainder if C2 acceptedEUR 15.00Still unresolved
Parent X82EUR 40.00 original differenceOpen

Do not report EUR 25.00 resolved just because C2 has a plausible amount. Keep accepted and candidate contributions separate. If C2 is rejected, the unresolved portion returns to EUR 25.00, subject to the agreed sign convention and any other verified changes.

Recalculate without losing the original observation

Preserve the original difference and record the effect of each accepted component or implemented correction. Recheck the underlying records after authorized changes. A schedule can balance internally while the actual reconciliation remains different, especially if the same component was counted twice or an implementation failed.

  • Give every component a stable reference.
  • Separate accepted and candidate explanations.
  • Preserve the original parent observation.
  • Show the remaining unexplained amount or relationship.
  • Verify authorized changes against source records.

If the investigation reveals unrelated issues, split them into separate linked cases rather than forcing them into one arithmetic explanation. Record how the parent case changed so backlog counts remain meaningful. Component tasks and distinct exceptions should not be counted interchangeably in reporting.

Close the parent through a final review

The reviewer should confirm that each component is resolved, explicitly rejected or transferred with a documented reason, and that the parent acceptance conditions are met. If any residual remains unexplained, retain an open case with an owner. A completed component checklist alone does not establish a supported overall result.
