Where the extra work starts
Vary that input before you commit so you know whether the buying decision survives a less convenient month.
Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.
The scenarios are possibilities selected for planning, not confidence intervals. Label their basis and avoid presenting the range as a statistical guarantee unless a suitable statistical analysis actually supports it.
A practical way to get it right
Write the model in a form that exposes its inputs. For a simple workload estimate, hours equal cases multiplied by active minutes per case, divided by 60. Record which inputs are measured and which are assumptions. Keep the completion definition fixed while varying them.
Change one uncertain input at a time to identify which has the greatest effect on the decision. Then inspect a combined adverse scenario if several assumptions could move together. Choose bounds from observed variation or an explicitly stated planning judgment, not from the result you hope to obtain.
Identify a decision threshold, such as whether demand exceeds the eight hours allocated to the queue. If plausible scenarios sit on both sides, gather more evidence about the influential input or choose a smaller pilot rather than calling the base case settled.
Microsoft: Calculate multiple results using a data table supports one- and two-input data tables. Use the same underlying formula across scenarios so only the intended assumptions change.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Scenario at 120 cases | Minutes per case | Modeled hours |
|---|---|---|
| Low | 3 | 6 |
| Base | 5 | 10 |
| High | 8 | 16 |
The base estimate exceeds an eight-hour allocation, while the low scenario does not. Measuring handling time is therefore material to this decision. Copy the table and add the source of each bound. If volume is also uncertain, show a second comparison rather than silently using a larger volume only in the high-time scenario.
Catch the cases that create rework
Do not vary a time estimate without checking whether it already includes exception effort. Increasing both exception share and an all-case average may count the same uncertainty twice. Avoid changing output quality between scenarios; a faster unchecked result is a different task, not a favorable sensitivity case.
Round the reported result to match the evidence. Extra decimal places cannot compensate for an input described only as “about five minutes.”
Microsoft: Round a number explains display rounding without changing stored values. Keep calculation precision internally while presenting a sensible range consistent with uncertain inputs.
Decide whether the change is worth keeping
State which assumption changes the decision and what observation would narrow it. A useful conclusion might be “we need timings for clarification cases before allocating cover,” rather than a single hours figure. Use the capacity calculator to explore the same low and high inputs, and retain the scenario notes so later readers know why the base result was provisional.
The workflow audit checklist can help record the observed friction before considering a change.
