Keep an internal owner when the client has the next response
Keep the reviewer and next action visible so a client reply returns to someone who can resolve the exception.
When an exception needs a supplier invoice schedule, ParseMill can extract the invoice PDFs into Excel and keep source references available for checking. That gives the reviewer a concrete starting point. Bank reconciliation, accounting judgments and posting stay in your accounting system.
The response owner may be a client contact, employee or another authorized source. The internal owner should monitor the request, handle obstacles and route the eventual answer. This prevents an exception from becoming an orphaned email that nobody revisits until the next close cycle.
Record two roles and one case
Keep the exception ID stable and link the outbound request to it. Record response owner, internal accountable owner, exact question, source context, requested date and next internal check. If another staff member coordinates messaging, identify that role without replacing the reviewer who owns the decision.
Intuit: Transaction requests describes collecting transaction information and receipts. Karbon: Client Requests describes client requests with due dates. Those features can manage communication, while the proposed two-owner model maintains accountability for the underlying reconciliation question. A completed client request should lead to review, not automatic case closure.
Follow a fictional external question
In this example, a reviewer needs to understand a deposit's composition. The client can supply the settlement record, but the internal reviewer decides whether it explains the difference.
| Stage | Response responsibility | Internal responsibility |
|---|---|---|
| Request sent | Client provides settlement detail | Reviewer owns exception X68 |
| Partial response | Client clarifies missing component | Coordinator checks scope and follows up |
| Evidence received | No further response currently needed | Reviewer assesses composition |
| Decision recorded | Client notified if another question arises | Reviewer closes or defines next action |
The table does not transfer accountability to the client. If the client cannot obtain the record, the internal owner escalates the evidence limitation and records the practitioner's next decision. A waiting state should still include a check date and a route for changed circumstances.
Make the external question narrow enough to answer
Provide the minimum transaction context and ask for the specific missing information. Avoid forwarding an internal investigation note containing unrelated data or speculative conclusions. If several questions are grouped, retain item references so a partial reply can update the correct components without closing the entire exception.
- Preserve the exception ID across messages.
- Name the response owner and accountable internal owner.
- State the exact evidence or explanation needed.
- Set an internal check separate from the requested response date.
- Route replies to review before closing the case.
If the accountable reviewer changes, hand over the investigation and current commitment. Do not leave the old reviewer as nominal owner while another person assumes someone else is monitoring the client. Ownership should reflect who will act when the next response or missed checkpoint occurs.
Verify the return path before sending
Check where replies and uploads will arrive and how they connect to the case. A useful request can still fail if the response lands in an unmonitored mailbox. Test the handoff with a synthetic partial reply and confirm that the internal owner can find the unresolved question.
Use the related workflow guide for the broader exception workflow and the workflow audit checklist to examine external waiting states. The practical improvement is a clear route from client answer back to reviewer decision, with accountability intact throughout the wait.
