Where the extra work starts

Keep a bounded recovery record so the team can reconcile actions when the system returns without duplicating requests or losing commitments.

For invoice preparation, ParseMill combines PDF extraction, source review and Excel export in one workspace. Test whether the downloaded workbook gives the receiving colleague what they need. The plan has one account owner; shared team seats and automatic posting to accounting systems are not included.

Follow the firm's existing continuity and access arrangements. If an activity requires evidence or approval that cannot be accessed, keep that activity on hold rather than guessing from memory.

A practical way to get it right

Record the outage start and the last known reliable tracker state. Name a temporary-log owner and communicate where permitted staff should record work. For existing tasks, retain their original references; for new tasks, use a distinct temporary reference that will later map to the normal system.

Log each meaningful event: new request, owner acceptance, decision, communication sent and completion evidence. Include time and source reference. Avoid copying full documents into the log when their approved location remains available. Mark uncertain states explicitly.

When service returns, establish a reconciliation cutoff. Compare each temporary entry with the restored tracker before applying it. Some changes may already exist because queued operations completed during recovery. Assign a reviewer to verify the reconciliation and resolve conflicts rather than importing every row blindly.

Microsoft: Create and format tables supports a headed temporary event log. Use separate event and task references so several outage events do not become duplicate tasks.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

Temporary eventNormal referenceReconciliation decision
T-01: client reply receivedA261Attach evidence if not already present
T-02: review completedA262Verify decision D262, then update state
T-03: new requestNo prior taskCreate A279 and retain T-03 link

The table separates events from tasks: several events can belong to one existing action. Copy the temporary reference, normal reference and decision columns, adding timestamps and the reconciliation reviewer. The new task keeps its temporary reference as evidence so later staff can understand what happened during the outage.

Catch the cases that create rework

Do not resend a client request just because the tracker lacks a sent indicator after recovery. Check the actual sent message first. Likewise, do not mark a task complete based only on a temporary note saying “done” without the required outcome evidence.

If restoring a file version would remove valid newer work, preserve and compare both states before choosing a recovery action through the authorized owner.

Microsoft: Restore a previous OneDrive file version describes restoring earlier file versions. If a file-based log is involved, inspect the version history before restoring so valid later decisions are not overlooked.

Decide whether the change is worth keeping

Account for every temporary event and confirm that active tasks have one current owner and correct next action. Test access to linked evidence after restoration. Once reconciliation is accepted, stop new entries in the temporary log and direct staff back to the normal system. Review a small sample later to catch duplicate actions that a same-day check may have missed.

The workflow audit checklist can help record the observed friction before considering a change.
