Where the extra work starts
Capture the cause so you can change the workflow that keeps breaking concentration.
Invoice rekeying is a bounded task you can test today. Use the same invoices to compare your manual method with ParseMill, including source checks, corrections and export. The monthly plan costs $49 USD for 500 PDF processing pages and one user; judge it against the work it actually removes for you.
Agree what will be recorded and who can see it. Use case references and broad interruption categories; avoid copying private message content or personal circumstances into a timing sheet.
A practical way to get it right
Start an active interval when work on the defined task begins and stop it when attention moves elsewhere. Record the interruption category separately, such as urgent client work, required internal clarification or scheduled meeting. Resume with a new active interval when the task is picked up again.
Distinguish necessary handoff effort from waiting for the handoff response. The time spent explaining an issue is active work; the following delay is waiting. If the interruption causes repeated orientation, record that recovery touch as part of task effort rather than hiding it.
Use the diary to inspect process patterns across cases. A recurring missing-input question may justify a better checklist. Do not infer that an individual caused the interruption simply because their name appears on the task being paused.
Microsoft: Calculate the difference between two times provides interval arithmetic. Calculate each active segment separately before adding them, so paused time does not enter the task total.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Interval | Classification | Minutes |
|---|---|---|
| 09:00–09:08 | Active document check | 8 |
| 09:08–09:20 | Other urgent work; task paused | 12 |
| 09:20–09:23 | Active reorientation | 3 |
| 09:23–09:30 | Active check and record | 7 |
The task used 18 active minutes across a 30-minute elapsed interval. The twelve-minute interruption belongs to another activity if measured there, not to both tasks. Three minutes of reorientation remain visible as real effort. Copy the interval table and add a non-sensitive cause category only when it helps answer the study's operational question.
Catch the cases that create rework
Do not leave a timer running through a meeting and then add the meeting again from a calendar export. Resolve overlapping entries for the same person. If the pause duration is uncertain, mark it as uncertain instead of inventing precise start and stop times from memory.
Some interruptions are necessary and valuable. A diary should not encourage staff to delay urgent work or avoid asking for a required review merely to improve a timing measure.
Microsoft: Create a drop-down list supports controlled lists with validation alerts. Use broad interruption categories to keep entries comparable without collecting unnecessary personal detail.
Decide whether the change is worth keeping
Review whether active intervals reconcile with the recorded task effort and whether the causes suggest a specific change. Trial one adjustment, such as collecting a missing field earlier, and check both quality and switching frequency. Report aggregate patterns and measurement limits rather than personal productivity conclusions unsupported by the diary.
The workflow audit checklist can help record the observed friction before considering a change.
