Preserve amounts in their original currencies
Keep the original currencies and the unresolved question together so the reviewer can investigate without guessing a rate.
When an exception needs a supplier invoice schedule, ParseMill can extract the invoice PDFs into Excel and keep source references available for checking. That gives the reviewer a concrete starting point. Bank reconciliation, accounting judgments and posting stay in your accounting system.
The authorized practitioner decides the appropriate accounting treatment and rate basis for the actual circumstances. The worksheet proposed here prepares the evidence for that decision. It does not supply current exchange rates, tax rules or a universal method for recognizing currency gains and losses.
Record the units and rate direction
Use fields for original transaction currency and amount, bank currency and amount, relevant dates, stated rate and direction, rate source, separately evidenced charges and unresolved questions. A rate without its direction is ambiguous: units of EUR per USD and units of USD per EUR are different expressions.
Intuit: Exchange rates describes exchange-rate use in supported QuickBooks multicurrency workflows. Intuit: Reconcile an account describes comparing records with account statements. The proposed worksheet keeps the original evidence visible for that comparison. Do not change product currency settings or enter a new rate simply to test a hypothesis in a live accounting record.
Work through an observed conversion
This fictional example contains a USD purchase and a EUR bank amount. The table records facts without asserting the rate or treatment that should be used.
| Source | Observed value | Status |
|---|---|---|
| Supplier document E180 | USD 100.00 | Original purchase amount |
| Bank transaction B240 | EUR 94.00 | Observed settlement amount |
| Rate evidence | Not yet supplied | Request or locate relevant source |
| Separate charge evidence | Unknown | Do not assume included fee |
Dividing 94 by 100 gives an implied numerical relationship of 0.94 EUR per USD, but it does not prove the applicable rate or explain any included charges. Keep such a calculation labeled as an investigative observation. The reviewer needs the actual settlement context and applicable decision basis.
Separate identity, conversion and fees
First confirm the two sources concern the same event. Then examine the conversion evidence and any separately documented charges. A date difference may matter to the review, but it does not by itself justify choosing a rate from whichever day produces the desired number. Preserve the relevant dates and ask the practitioner to decide.
- Keep original amounts and currency codes intact.
- Label rate direction and source explicitly.
- Distinguish stated rates from implied calculations.
- Record fees only when supported by evidence.
- Retain unresolved differences for qualified review.
If a source uses an ambiguous currency symbol, seek clarification rather than assuming the account's home currency. If the receipt or export has already converted values, retain the conversion context. Mixing original and converted amounts in the same column can produce a misleading comparison even when every number was copied accurately.
Verify the reviewer can reproduce the comparison
Before handoff, check that each amount, rate and date can be traced to its source and that unlike units are not added or subtracted directly. Record the practitioner's decision separately from the observed data, with any authorized implementation and verification evidence linked afterward.
Use the related workflow guide for the wider exception workflow and the workflow audit checklist to examine currency-related handoff questions. A useful test includes an unknown currency, an inverted rate and an undocumented charge, so the process preserves uncertainty instead of forcing a convenient match.
