A shared correction needs a delivery trail
Record what changed and which version replaces it so the team does not keep making decisions from conflicting copies.
ParseMill exports reviewed invoices to Excel with separate summaries, line items, sources and review status. You can import an XLSX or CSV template and save a client setup. Run a real invoice through to the final workbook and check it in the application that receives your work.
The notice should be specific enough for recipients to assess impact without exposing unrelated records. Include the corrected field, source evidence and any derived outputs that need rechecking.
Copy a correction notice
| Notice field | Synthetic example |
|---|---|
| Affected artifact | Register R31 export v2 |
| Affected record | Stable key R31:S08:TestA |
| Correction | Result 8.7 replaced by source-confirmed 8.1 |
| Replacement | Register R31 export v3 |
| Impact | Recheck calculations using that result |
| Evidence | Report R31 revision 1, physical P3, row8 |
| Requested action | Use v3; identify downstream copies of v2 |
The example is invented and should be adapted to the actual correction. If the issue concerns a wrong unit or row association, describe that instead of presenting it as a simple numeric change. Record whether the source changed or the earlier transcription was wrong.
W3C: Data on the Web Best Practices recommends version history. A correction notice should connect the old and replacement artifacts so recipients can determine which one they hold.
Prepare a verified replacement
- Freeze the affected shared version and identify all records and dependent calculations potentially influenced by the issue.
- Verify the correction against the authorized source. Review neighboring records when a structural repair could have shifted associations.
- Create a new output version and repeat the relevant export checks. Save a concise change record and scoped review result.
- Notify the authorized recipient list through the normal process, naming the replacement and required follow-up. Track unresolved downstream copies or confirmations where the workflow requires them.
W3C: Provenance model primer distinguishes revisions and responsible activities. Record who made and verified the correction, along with the evidence supporting it.
Avoid ambiguous messages
“Updated file attached” does not tell a recipient whether to redo an import or recalculate a summary. State what changed and which previous version is affected. Do not claim that downstream results are unaffected unless that impact has actually been checked.
If source evidence remains ambiguous, issue an uncertainty notice and hold the affected field rather than announcing a definitive correction. Preserve the difference between confirmed repair and unresolved investigation.
Check the correction can be followed
For the fixture, a recipient can identify v2, locate the stable record key and obtain reviewed v3. They know which calculation input changed and which source supports it. The notice should not require access to unrelated records to understand the action.
Use a correction notice when a shared ParseMill export changes after review. It keeps the useful extraction connected to a controlled revision history and helps recipients avoid continuing with a superseded value.
