Transfer the investigation, not only the owner field
Transfer the evidence and the next decision together so the new owner can continue instead of starting again.
When an exception needs a supplier invoice schedule, ParseMill can extract the invoice PDFs into Excel and keep source references available for checking. That gives the reviewer a concrete starting point. Bank reconciliation, accounting judgments and posting stay in your accounting system.
The handover should explain why the item is still open and what the receiving person is expected to do next. If there is no actionable next step, escalate that decision before calling the transfer complete. Ownership without a workable question simply moves the backlog between people.
Create an investigation handover card
Include case scope, observed discrepancy, source versions, checks and results, outstanding dependencies, commitments made, decision authority and next check date. Keep tentative explanations labeled as hypotheses. A failed search can be useful when its scope is recorded; checked everything is not reproducible.
Intuit: Audit log describes recorded changes and actors. Microsoft: Review flagged messages describes locating flagged messages. Those tools can help find history, but the proposed handover card explains its meaning. The receiving owner should not have to infer the investigation from a long event log or a collection of flagged emails.
Hand over a fictional aged case
This example transfers X96 after several attempts to obtain settlement detail. The card preserves the prior work and defines a new action rather than repeating the same message.
| Handover field | Example |
|---|---|
| Original issue | Deposit composition unresolved since 3 October |
| Completed check | Supplied component list reconciled; one item absent |
| Prior attempts | Two requests; client reports issuer delay |
| Current dependency | Complete settlement statement expected next week |
| Next action | New owner checks availability on agreed date |
| Decision owner | Reviewer decides readiness if evidence remains unavailable |
The new owner can see why an immediate generic reminder would be unhelpful. If the expected date has passed, the next action becomes a focused update and reviewer escalation. Preserve that change rather than editing the old commitment to make it look current.
Verify access and responsibility
Check that the receiving owner can open the necessary sources and communicate through the approved route. Confirm whether they are taking collection responsibility, review responsibility or both. Keep any approval limits explicit so a reassignment is not interpreted as authorization to make financial corrections.
- Retain the original case and age basis.
- Record completed checks with their results.
- Preserve unsuccessful leads and known dependencies.
- Confirm access to evidence and current messages.
- Obtain acknowledgment of the next action and decision boundary.
If the previous owner is unavailable, reconstruct what can be supported from the record and label gaps. Do not invent a completed check because it seems likely to have happened. Ask the responsible reviewer which missing facts must be re-established before the investigation proceeds.
Check the first action after transfer
At the next checkpoint, confirm that the receiving owner acted from the handover rather than starting again. If they repeated a check, determine whether the earlier result was unclear or new evidence justified it. Use that finding to improve future handovers without discouraging appropriate verification.
Use the related workflow guide for the full exception workflow and the workflow audit checklist to examine aged-case transfers. A practical test is whether a colleague can continue one synthetic case from the handover card alone while preserving the original evidence, uncertainty and next decision.
