Where the extra work starts

Transfer the commitment with the task so the new owner can act on it without making the client repeat the agreement.

For invoice preparation, ParseMill combines PDF extraction, source review and Excel export in one workspace. Test whether the downloaded workbook gives the receiving colleague what they need. The plan has one account owner; shared team seats and automatic posting to accounting systems are not included.

The handover does not authorize a new promise. If the existing commitment cannot be met, the responsible lead should decide how to address it and the response owner should communicate the agreed update.

A practical way to get it right

Locate the latest confirmed commitment in the sent message or other approved record. Record its date, recipient, promised outcome and any condition such as receipt of a missing document. Identify later changes and preserve their source references.

Put the commitment on a short handoff card alongside the next action and evidence. Ask the receiving owner to accept responsibility and confirm they understand what is due. If the commitment is unclear, mark it uncertain and obtain clarification from the established owner before making a client-facing statement.

Update the authoritative action record after acceptance. Keep the original commitment visible even if the internal next-check date changes. A reminder date is a staff control; it should not overwrite the date already agreed with the client.

Microsoft: Copy and move Planner tasks says basic-plan copies omit comments and task chat. Preserve client commitments as explicit source references during transfer.

What this looks like on a real task

Synthetic example. The people, references and figures below are invented to demonstrate the method.

Handoff fieldSynthetic record
Confirmed promiseSend coverage update Friday; R281
ConditionSubject to receiving page 4 by Thursday noon
Current evidencePage 4 received; U121 awaiting review
New ownerMina accepted Thursday 13:00
Internal checkReview outcome by Friday 10:00

The internal Friday check supports the promised update but is not itself the client commitment. Copy these fields and add any approved change source. If page 4 had not arrived, the condition would remain relevant; the receiving owner should not silently interpret the promise as unconditional or assume it has automatically disappeared.

Catch the cases that create rework

A draft saying “Friday” is not evidence that Friday was agreed externally. Likewise, a client's proposed date may not have been accepted. Keep those distinctions visible. If multiple staff made conflicting promises, route the conflict to the lead and record the resolved communication plan.

Copying the task may omit discussion where the commitment was recorded. Include the actual sent-message or decision reference in the handoff rather than relying on a copied comment.

Microsoft: Assign people to Planner tasks supports named task assignments. Update the receiving owner after acceptance, keeping the commitment evidence separate from the assignment itself.

Decide whether the change is worth keeping

Ask the receiver to state the promised outcome, date and conditions in their own words, then compare with the source. After delivery, link the sent update to the action. Review missed commitments by where information was lost: promise capture, transfer acceptance or execution. That makes the next improvement specific instead of treating every delay as poor communication.

The workflow audit checklist can help record the observed friction before considering a change.
