Where the extra work starts
Keep the currency and any ambiguity visible so the reviewer can resolve it before totals from different suppliers are combined.
Upload a representative supplier invoice, inspect its extracted fields and line items beside the PDF, then download Excel. Put the awkward invoice in your trial too: the useful result is less total work after corrections.
ParseMill extracts invoice currency when the source supports it and leaves an ambiguous bare $ unresolved. Review that field beside the source before combining invoices. This is context preservation, not currency conversion or accounting approval.
A practical way to get it right
Inspect the invoice header, amount labels and relevant notes for an explicit currency code or statement. Record the raw wording and source page. If only an ambiguous symbol is present, mark the currency unresolved and ask the responsible reviewer to confirm it through the established process.
Create a document context record linked by a stable source-document reference. When combining line items from several invoices, carry that reference and the verified currency context into the combined register. Keep source amounts unchanged; any later conversion belongs in a separate, approved calculation with its own assumptions.
Check that the receiving workbook does not add a misleading currency symbol through a default format. A displayed symbol can describe formatting chosen by the user rather than information extracted from the invoice. Preserve raw amount strings and the explicit context field.
OpenPeppol: Invoice syntax models document currency separately from line items and includes a distinct tax-currency concept. Use that structural distinction as a reminder to preserve the source’s labels, not to infer arbitrary PDF content.
What this looks like on a real task
Synthetic example. The people, references and figures below are invented to demonstrate the method.
| Document | Source evidence | Context state |
|---|---|---|
| INV-A | Header states USD | USD confirmed from page 1 |
| INV-B | Header states EUR | EUR confirmed from page 1 |
| INV-C | Only $ beside total | Unresolved; reviewer confirmation needed |
Amounts from INV-A and INV-B should not be combined as though they were the same unit. INV-C remains unresolved even if the supplier usually invoices in USD. Copy the document, evidence and state columns into a cover sheet. Link each extracted row to its document so currency context survives sorting and merging.
Catch the cases that create rework
Some documents display more than one currency for different purposes. Do not choose the first symbol you see or assume that a tax-reporting amount establishes the currency of every line. Preserve the source labels and route the distinction to the reviewer.
A CSV export may not retain workbook formatting or a separate cover sheet. Include the necessary context in the intended handoff format and verify it after re-import.
Microsoft: Import or export text and CSV files describes CSV interpretation and export limits. Verify that the handoff includes explicit currency context rather than relying on a workbook’s displayed symbol.
Decide whether the change is worth keeping
Open the final register as someone who has not seen the PDF. They should identify each amount's source document and the evidence for its currency, including unresolved cases. Check that no conversion or default formatting has been presented as source data. A useful register makes comparisons safer by exposing context rather than silently normalizing it.
